Executive Assistant (Engineering Dept)

Job Summary
The Executive Assistant will provide high level support to the Vice President of Engineering, as well as the engineering organization. Reporting directly to the VP of Engineering, the Executive Assistant is at the center of the team's operations and activities and are a critical member helping to keep the team focused and moving forward. Major responsibilities will include coordinating travel, managing senior management calendars and proofreading correspondence from the senior managers & staff. This person will interface will senior levels of the organization, as well as some external customers. This role will also help manage and coordinate areas such as training, and other projects within the engineering team. The Administrative Assistant will use sound judgment, manage priorities and operate with an appropriate with in the procedures established in the department.
Responsibilities and Tasks
- Manage administrative tasks to include
- Managing calendars for senior leadership
- Coordinating travel and expenses
- Managing Engineering Sharepoint
- Planning team events
- Coordinating internal and external meeting events
- The Administrative Assistant will deal with a broad range of engineering operations management responsibilities including:
- Managing training requirements
- Compiling department reports
- Facilitating engineering operations schedule and cadence
- The Administrative Assistant will generate letters, memos and other senior level correspondence for the managers in the assigned department.
- Will execute administrative procedures and processes for the engineering team
- Will help with the budget preparation and monthly monitoring
- Will maintain all department files
- Will assemble and produce presentation information or data
- Will use good judgment in completing activities and operate under general supervision.
- Will use MS Office suite applications; to include Power Point presentations
- May be asked to use judgment and discretion in completing regular assignments
- Other related duties as assigned
Education, Experience, Licenses and Certifications
- Bachelor's degree is preferred
- Associate's degree is required
- 3-5 years of functional (using skill set) experience is required
