THE ROLE

We are seeking a highly motivated, proactive, and resourceful manager with exceptional organizational skills and sound judgment to oversee the daily Americas regional administrations and operations. This role blends office management, administration and strategic responsibilities, including oversight of vendor management, travel and expenses, cross-functional coordination, and special projects. The ideal candidate thrives in a fast-paced environment, anticipates needs, and serves as a trusted partner to leadership with maturity, discretion, and professionalism.

Responsibilities

  • Act as a central point of contact to ensure information flows smoothly between Americas regional offices, teams and stakeholders
  • Anticipate and address administrative needs and inefficiencies across the Americas regional offices to ensure smooth operations
  • Prepare and update presentations, reports, and materials
  • Oversee vendor relationships, office supplies, and general facilities needs
  • Process invoices, track accuracy, and manage vendor onboarding and payments
  • Monitor and manage travel and expense submissions
  • Identify ways to improve travel, expense, and administrative processes.
  • Support the Global Head of Business Development in priorities and follow up relating to Americans regional operations
  • Provide administrative support to the business development department as needed

Ideal Experience & Competencies

  • Bachelor’s degree required
  • 5+ years of professional experience as an office administration, operations or in a role with comparable responsibilities
  • Curiosity about business development and regional strategy
  • Exceptional attention to detail, organization, and accuracy
  • Skilled at managing multiple priorities while maintaining composure under pressure
  • Proven ability to handle sensitive and confidential information with discretion
  • Professional presence with the ability to exercise sound judgment and represent the Sotheby’s brand with integrity
  • Excellent interpersonal skills, with a collaborative approach and client-service mindset.
  • Strong written communication and analytical skills, with experience preparing reports, presentations, and professional correspondence.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Flexibility to work occasional evenings and weekends as needed.

The proposed base salary for this position ranges from $65,000-$80,000. In addition to base salary successful candidates are eligible to receive a discretionary bonus, as well as a competitive benefits package. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered.
