THE ROLE
Sotheby’s is seeking a proactive, detail-obsessed Gallery & Viewing Coordinator to oversee daily operations and scheduling for our Breuer exhibition space, with additional oversight as needed for exhibitions at York Avenue. This role is essential to ensuring that all stakeholders—from Specialist departments to Facilities, Dock Operations, and Private Sales—are aligned on gallery activity, viewing appointments, and the broader daily run-of-show.
With a strong background in events, operations, or gallery coordination, the ideal candidate thrives in a fast-paced environment where timing, discretion, and clear communication are critical. This position plays a pivotal role in maintaining presentation standards, coordinating viewing logistics, and ensuring a seamless, client-ready experience each day.

RESPONSIBILITIES
Daily Run-of-Show Management
- Own and distribute a comprehensive daily operations schedule (“run-of-show”) for the Breuer, outlining all art movement, viewing appointments, dock deliveries, installations, and vendor activity.
- Communicate plans in real-time with key departments including Dock Operations, Facilities, Security, Private Sales, Specialist teams, and the on-site Restaurant.
- Ensure visibility and alignment across all stakeholders to avoid operational conflicts and minimize disruption.
Salon & Viewing Calendar Coordination
- Manage the booking, preparation, and turnover of all salons and viewing rooms at the Breuer.
- Act as the central contact for Specialist departments, Private Sales, and Operations teams requesting space, confirming usage details, and coordinating follow-up needs.
- Track timing for appointments and ensure spaces are clean, presentable, and reset as needed between viewings.
Exhibition Oversight & Coordination
- Support the Gallery & Exhibition Manager in the execution of exhibitions at the Breuer, ensuring proper coordination of layout, installation schedules, and interdepartmental communication.
- Provide light oversight and operational support for occasional or continuing exhibitions at York Avenue, liaising with Facilities, Security, and Logistics teams to ensure continuity of service and presentation standards.
Stakeholder Communication & Alignment
- Serve as the operational hub for all gallery activities, proactively disseminating daily schedules and updates to all relevant teams.
- Maintain flexibility to adapt plans based on shifting client needs, last-minute changes, or interdepartmental feedback.
- Ensure that all moving parts—from art handling to viewing logistics—are communicated clearly, ahead of schedule whenever possible.
On-Site Coordination & Presentation Standards
- Partner with Art Handlers, Project Leads, and Operations teams to coordinate safe and efficient movement of artworks.
- Reinforce presentation standards across all client-facing spaces—salons, viewing rooms, public galleries—ensuring they reflect Sotheby’s brand and expectations.
- Provide logistical support for events, openings, and bespoke appointments as needed.
Qualifications
- Bachelor’s degree or equivalent experience
- 1–3 years in gallery operations, events management, hospitality, or similar client-facing coordination role
- Proven experience managing complex calendars and operational schedules across multiple teams
- Exceptional communication and interpersonal skills, both written and verbal
- Strong attention to detail and ability to anticipate logistical challenges before they arise
- Ability to manage shifting priorities with calm, professionalism, and urgency
- Proficiency with scheduling tools, calendars, and digital coordination platforms
- Flexibility to work evenings, weekends, or overtime as needed
The expected hourly rate for this position ranges from $26/hour - $31/hour. Employees in this role may be expected to work overtime, and will receive additional pay at the applicable overtime rate. In addition to hourly wages and overtime, successful candidates will be eligible for benefits as required by law. Our offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained.
