This position is responsible to work in a teamwork environment with credit and/or accounting professionals and is a key member of the Credit Management Team. This position is responsible to perform a variety of clerical and administrative functions to assist the Collector/Credit Analysts, Credit Manager and Director of Credit and the Vice President of Finance.
What a day in this role looks like:
- Perform clerical and administrative duties related to day to day activities of the Credit & Collections Department, including the processing and verifying of applications for credit. Compile necessary information from financial institutions such as banks and credit organizations, such as, D&B and Experian.
- Credit applications must be processed as required daily. Minimum of three responses are required. Follow up of inquiries must be done within 24 hours after initial contact. Contact the customer or the references if necessary to make sure we receive the maximum number of responses.
- Set up of new accounts and notify the Customer, Branch Managers and Analysts daily.
- Mail letters of acceptance or denial within 24 hours of decision.
- Maintenance on customer accounts, i.e., changes of addresses and phone number updates.
- Mail demand letters for those Analysts that work offsite.
- Resolve disputes on credit cards.
- File claims with UTA and contact Customers regarding returned checks.
- Issue Sales Tax Credits or Debits daily as required for both charge accounts and cash sales.
- Scan all references, credit applications and tax exempt certificates daily on customer accounts. Request tax certificates for tax deductions on collector accounts.
- Update and maintain credit files for the Credit Department which may include delinquent accounts and credit risks as requested by Credit Department members.
- Prepare various reports for the Vice President, Director of Credit and Credit Manager - maintain confidential files.
- Submit W9 forms and other departmental supporting documents when requested.
- Fill out all of the necessary documents for ACH electronic payments, etc.
- Print of invoices for "Special" projects.
- Involvement of State Sales Tax Audit as needed.
- Call on small balance accounts for money and to support collectors.
- Perform other related duties as required or directed.
What we are looking for you to bring to us:
• High school diploma with 1 to 2 years business experience
• Knowledge of commonly used business concepts, practices and procedures.
• Rely on instructions and pre-established guidelines to perform the functions of the position.
• Strong computer skills including all Microsoft Office applications
• Strong verbal and written communication skills
