The Role…

This is an exciting opportunity for a Personal Assistant & Office Manager to join our Soho House Retail team. You will be responsible for providing professional pro-active and confidential support on a day-to-day basis to the Managing Director and the wider Soho Home team as well as managing the 2 Soho Home offices. Liaising with internal and external stakeholders, the ideal candidate will have experience of providing administrative support at executive level. You will be able to act autonomously and use your initiative to prioritise workload with ever changing needs. In this role, efficient organisational skills are a must, you will be managing high level diaries, preparing for company meetings, inbox management, travel arrangements, office organisation,  supporting the Retail team and more. You will possess excellent communication, networking and interpersonal skills being able to work with a range of stakeholder along with being exceptionally organised and detail oriented.

Main Duties…

  • Act as an all-around gatekeeper and strategically manage the Managing Directors time with respect to priorities, goals, and objectives.
  • Managing diaries, scheduling and managing meetings, agendas, making sure time is carved out for managing their team and for non-meeting work planning. Setting reminders for meetings, appointments and other important tasks.
  • Organising & taking responsibility for town halls, offsite meetings, including logistics such as location, technology, communication and RSVP’s
  • Being able to write emails and communication for internal platforms on behalf of the MD. Monitor inbox & respond to emails on behalf of the Managing Director when required.
  • Take notes and actions for meetings
  • Work with travel team to organise all international and local travel arrangements for the MD as well as the wider Soho Home team creating detailed travel itineraries and visa requirements where necessary.
  • Partner with People and Development team to assist with recruitment, co-ordinating their onboarding, group training and variety of team culture initiatives.
  • Act as the main point of contact and support for Retail team. Making sure they are informed on Company updates.
  • Lead Social Committee and engage an active team of volunteers from the office and any other Retail events.
  • Ability to learn and adapt quickly to last-minute changes and changing priorities while taking them in stride and maintaining a positive attitude.
  • Deal with confidential and sensitive issues requiring a high level of discretion and understanding.
  • Executive admin – processing expenses for the executives in a timely manner & manage any personal requests
  • Manage all aspects of the two Soho Home offices including – budgeting, managing and ordering supplies, coordinating cleaners, liaising with landlords, coordinating IT hardware and infrastructure and managing ad-hoc maintenance
  • Manage all retail team local and internation travel
  • Maintaining Retail teams holiday tracker
  • Be the Key contact with the Soho House support office and ensure consistency between Soho Home and Soho House support office policies and benefits

 About you…

  • 3+ years’ experience of being an PA
  • Experience managing a fast paced office
  • Experience of managing Senior Executives and working closely with CEO
  • The ability to multitask and prioritise an everchanging workload
  • Experience in diary management
  • Attention to detail
  • Ability to deal with confidential information
  • High level of organisation
  • Driven to get things done without being asked
  • Very proficient in Microsoft Office and Google Documents – particularly PPT, Excel and Word
  • A track record of delivering projects on time and to budget
  • A calm and confident demeanour and ability to work under pressure
