The San Diego Convention Center is located on sparkling San Diego Bay in the heart of a vibrant downtown. Abundant, flexible space and five-star service make the San Diego Convention Center the meeting planner's choice for hosting major conventions, trade shows, meetings and special events. The venue features 2.6 million sq. ft. of space, including 72 meeting rooms, 8 exhibit halls, 2 ballrooms, a 138-seat restaurant, 36-seat bar, 8 concession stands, 3 Starbucks locations, and hosts large-scale events like Comic-Con and ESRI.

Principal Function:

The Administrative Receptionist - Catering Sales provides essential administrative, clerical, and front-desk support to the Catering Sales team at the San Diego Convention Center. This position plays a key role in welcoming clients, organizing communications, supporting event documentation, and ensuring the overall efficiency of the sales office.

This role is ideal for someone with strong interpersonal skills, a polished and professional presence, and a passion for hospitality and organization.

Essential Responsibilities:

  • Serve as the first point of contact for the Catering Sales department - welcoming visitors, answering calls, and directing inquiries with professionalism and warmth.
  • Provide administrative support to the Catering Sales team, including preparing proposals, contracts, and event documentation.
  • Maintain organized records and filing systems for catering events, contracts, and client communications.
  • Assist with scheduling meetings, coordinating site visits, and preparing materials for client presentations.
  • Manage internal calendars and support coordination of large-scale event timelines.
  • Process incoming and outgoing mail, organize office supplies, and support day-to-day departmental operations.
  • Maintain up-to-date knowledge of catering menus, event services, and venue capabilities to assist with basic client inquiries.

Qualifications/Skills:

Required:

  • High school diploma or GED; some college or equivalent administrative experience.
  • 1+ year in an administrative, reception, or hospitality support role.
  • Exceptional communication skills, both verbal and written.
  • High level of professionalism, organization, and attention to detail.
  • Strong computer literacy, including Microsoft Word, Excel, Outlook and general office technology.
  • Ability to multi-task, prioritize, and stay calm in a fast-paced, client-facing environment.

Preferred:

  • Prior experience supporting sales, catering, or events teams in a hospitality setting.
  • Knowledge of event management systems (e.g., Caterease, Delphi, TripleSeat).
  • Bilingual (English/Spanish) a plus.

Other Requirements:

  • Must be able to work occasional nights, weekends, and holidays based on event needs.
  • Requires the ability to sit or stand for extended periods and walk moderate distances throughout the venue.
