The Role

The Total Rewards Specialist is a critical member of the Total Rewards Team, serving as the primary point of contact for employee questions related to benefits and providing support for benefit, compensation, and payroll processes. This person is responsible for ensuring the integrity of internal information and validity of vendor information related to our employees' benefit elections. In addition, the Total Rewards Specialist performs primary benefit and payroll functions in the absence of others or during peak/higher volume periods.

Where you'll work

This is a hybrid role, with the expectation to be in office 3 days at our Cleveland, Ohio location.

What you'll be doing

  • Serves as subject matter expert on health & welfare and retirement plans, time away (PTO/FTO), leaves of absence, and related company policies, responding timely via email, Slack, by phone and in person.
  • Registers ShiftKey with new states and localities as needed for payroll purposes.
  • Completes monthly audits to ensure the accuracy of all benefit and retirement plan enrollments in the HRIS to provide vendors with accurate eligibility information.
  • Reconciles vendor invoices, resolving disputes, and reporting on fees and costs.
  • Educates employees about the open enrollment and qualifying life event processes to ensure proper and timely benefit elections.
  • Assists with the annual retirement catch-up contribution process through reporting, auditing, and communication with plan vendor.
  • Collaborates with Payroll regarding reporting, benefit deductions, leaves of absence, earning types, and pay cycles.
  • When required, accurately and timely processes payroll for all US employees.
  • Creates educational materials to ensure employees make effective use of benefits, including new hire materials, open house sessions, and electronic communications.
  • Maintains accurate recordkeeping of all required reports, records, and other documents.
  • Evaluates job roles and responsibilities to determine appropriate job levels and salary ranges, and conduct FLSA analyses as needed.
  • Conducts job pricing exercises using market data to establish competitive compensation packages for new hires, promotions, and transfers.
  • Partners with leaders to ensure ShiftKey's compensation philosophy is clear and consistently applied.
  • Provides compensation guidance and HRIS education assistance to leaders during annual merit increase and bonus cycles.
  • Understands current processes, identifies and implements process improvements where appropriate.

What you'll need

  • 4-6 years of related experience in Benefits and Compensation, to include a wide variety of benefit types and 401(k) plan experience as well as work in a primary or support function in preparing compensation recommendations using various data points.
  • Advanced skills in Excel/Google Sheets to include lookups, pivot tables, and if/then statements.
  • 4+ years experience using HRIS and Benefit Admin systems for new hire enrollment, open enrollment, and day-to-day management of benefit systems.
  • 2+ years experience working with established compensation grades and ranges, researching and applying appropriate compensation using market and internal equity data.
  • Experience creating educational materials for employee distribution.
  • Solid verbal and written communication skills to explain complex concepts in a simple, straight-forward manner.
