What's the role?
To provide high-level executive support to the T&S Commercial Operations line, ensuring seamless coordination of leadership events and the efficient execution of daily operations through proactive and exceptional administrative support. This role also plays a key part in fostering an inclusive and collaborative team environment-actively engaging in discussions, encouraging diverse perspectives, and contributing to a culture where individuals feel safe, valued, and empowered to speak up.
What you'll be doing
- Provide effective, efficient, and pro-active administrative support, dealing with matters of a highly confidential nature.
- Works within well-defined and standardized procedures and practices.
- Manage and maintain complex diary coordination through planning, coordinating, and arranging internal and external meetings, taking into account purpose, importance, impact and complex boundaries and interfaces. Updating meeting schedules, resolving conflicts proactively, and coordinating pre-reads and meetings in a timely way.
- Deal with a variety of unambiguous questions, checks correctness of data and adjusts with several sources of information within own area/department.
- Arranging detailed and accurate logistics for forthcoming travels, including proactive and timely arrangements in a cost and business efficient manner. Preparation of travel itineraries, independently arranging flights, trains, visas, accommodation, and car transport.
- Take the initiative in managing and coordinating the advance planning and logistics for leadership team meetings and global business events. This includes organizing recurring weekly and monthly cadence meetings, regular team check-ins, and project-specific sessions-ensuring all engagements are well-structured, timely, and aligned with strategic priorities.
- Lead the scheduling for webcasts as required.
- Manage and use functional mailboxes and Viva Engage channels as required. Manage and maintain various distribution lists.
- Support information management activities i.e., DocuSign, Sharepoint sites and Viva Engage.
What we need from you
- The candidate must have legal authorization to work in the US on a full-time basis
- Bachelor's degree or 2 or more years of professional work experience
- Excellent in English written and verbal communication skills with both internal & external parties across all levels.
- Able to interact at all levels. Will demonstrate an enthusiastic, proactive can-do and customer focused mindset.
- Professional and organized with the willingness to help, and ability to independently use a range of problem-solving skills while learning quickly. Enjoys taking the initiative and working autonomously.
- Able to manage confidential and sensitive matters with integrity & discretion.
- Effective time management and personal effectiveness skills to work within tight (and often changing). deadlines, balancing competing priorities with proactiveness and independence. Displays a willingness to speak up to help manage workloads and ensure proactive prioritization.
- Operates within the context of high business criticality, with correspondingly important deadlines for the job holder and leadership team members.
- Has the ability & willingness to help support and partner with individuals across multiple teams and cultures.
- Eye for detail when completing tasks.
- Experience in corporate/global and cross-cultural environments required.
- Proficiency in systematically maintaining accurate records pertaining to activities such as meetings, travel, correspondence, and events.
- Advanced computer literacy in various applications, activities and programs (Sharepoint, Microsoft Office applications including Outlook, Microsoft Teams, Concur, Corporate Travel, etc).

What we offer
The base salary range for this position is $54,000 - $82,000 per year. Individual pay will be based on various factors such as relevant work experience, education, certifications, skill level, seniority, and internal equity.
