Job Summary
The Sales Assistant plays a critical role in supporting sales teams by managing booking processes, opportunity tracking, contract coordination, and administrative tasks. This role ensures accuracy, compliance, and timely execution of sales operations while maintaining strong coordination across internal stakeholders.
Key Responsibilities
Booking Support
- Generate complete booking authorization packages
- Ensure all booking documentation is properly uploaded into S360
- Prepare booking request forms with all required documents and submit for official processing
- Create and maintain new BFO opportunities
- Coordinate and manage support requests (estimating, contract admin review, legal, system architecture, etc.)
- Manage and generate quote links
- Track partner channel opportunities and ensure proper tagging (e.g., "#NSA" in notes)
- Update opportunity records, including status, notes, and activities
- Log meetings and maintain accurate documentation within opportunities
- Update the Precon dashboard for open support requests
- Follow up with branch teams to ensure timely completion of contract reviews
- Track support requests for legal and preconstruction (Precon) support
- Monitor and maintain communication records within BFO
- Gather required information and assist in completing RFI/RFP documentation
- Ensure submissions are accurate and submitted on time
- Complete new customer setup and vendor onboarding documentation
- Coordinate with internal stakeholders to ensure timely processing and activation
- Track and follow up on MSA and Avetta requirements
- Ensure all documentation is completed and processed within deadlines
- Collect and organize required supporting information
- Track parts and service requests
- Manage and close work orders
- Maintain accurate system updates and data entry
- Conduct research and gather data to support sales calls, presentations, and strategy
- Assist with drafting proposals and sales documentation
- Maintain and update records in Dynamics CRM
- Manage opportunity and activity tracking
- Process and reconcile expense reports (e.g., AMEX/Concur, depending on access level)
- Provide general administrative support to the sales team
Qualifications
- Must possess a Bachelor's Degree in any course
- Prior relevant work experience is required.
- Must have good communication skills.
- Must be willing to work during US business hours.
- Must be amenable to work on a hybrid setup in Rosario, Cavite.
