Project Coordinator
Your mission:
To support the efficient execution of projects by working closely with Project Managers, Tendering Engineers, and Finance Controllers. This role ensures smooth workflow across the team, accurate financial forecasting, and effective document control. The Project Coordinator will also manage contract documentation and maintain compliance with internal systems and processes. In addition the role will support the wider Digital Buildings global teams on topics relating to Labour recovery and utilisation
Your Key Responsibilities:
Project & Financial Administration
• Collaborate with Project Managers to maintain and update the order book in SAP.

• Assist in preparing sales and invoicing forecasts.
• Monitor and follow up on missing timesheets and perform timesheet analysis.
• Track backlog hours and support project closing checklists.
• Maintain accurate project review notes and update SAP accordingly.
• Support and coordinate Labour Recovery between countries/geographies including coordination of OPA/recharges/interco PO liaising with country finance and CoCe (relating to CoE heads but also other Regional Ops)
Order & Contract Management
• Process customer orders and variations, ensuring accurate booking in SAP.
• Manage purchase order (PO) and invoice requests from Project Managers.
• Coordinate signature requests for new contracts with Company Directors.
• Scan and archive signed contracts using OCR software and maintain the contract database.
Document Control
• Act as document controller for projects, ensuring proper version control and change tracking.
• Translate customer and supplier documents to English using appropriate tools.
• Monitor customer document portals and notify Project Managers of relevant updates.
• Maintain database of Labour Headcount allocations to Countries and associated recharges/recoveries/costs
About You
Essential:
• Strong interpersonal and communication skills (written and verbal)
• Excellent time management and organizational skills
• Proficient in Microsoft Office and general PC literacy
• Ability to work collaboratively in a team environment
Desirable:
• Familiarity with Schneider Electric IT tools (Salesforce/bFO, SAP)
• Minimum 3 years of experience in a similar administrative or project support role
