Our Mission:
As part of project team:
- Manage project Documentation from the start of a project until its completion (final documentation inclusion)
- Serving as the primary point of contact for inquiries regarding documentation for the PM & customer.
- Coordinate project documentation deliverables & Manage stakeholders/customer exchanges.
- Being the main support for project documentation matters; including assuring Quality and Respecting lead time.
- Maintain proper information processing within the team.
- Maintain Consistent & accurate reporting on the status of documentation to the PM and TL.
- Check documentation conformance to specification
- Preparing basic KPI
- Key Responsibilities:
During Selling phase:- Study and analyze provided project inputs
- Calculate the estimated number of hours required for the documentation.
- Highlight the important information related to documentation based on project inputs (Penalties related to documentation, special requirements such as: hard copies, translation... etc.)
Related to Initiate & Set-up stage:- Study and analyze provided project inputs
- Calculate the estimation of hours on the documentation part.
- Highlight the important information related to documentation based on project inputs (Penalties related to documentation, special requirements... etc.)
- Define the guidelines & establish a tracking and follow-up system for project documentation.
- Set up a process for the documentation management.
- Conduct the first MDR (Master Document Register) for the project in coordination with the PM.
- Provide the necessary training on the Documentation Management process to the project team
- Set up meetings with customer Document Manager to identify their requirements and demonstrate Schneider internal documentation management process.
- Suggest & implement a process for managing documentation for the suppliers.
Related to Monitor & Control stage:- Consolidate the documentation plan:
- Identify and conduct contractual documentation.
- Confirm the documentation delivery dates (Due Date) in cooperation with the TL.
- Creation, control and follow up of documentation tracking file GCP Ops --> Customer and Site.
- Manage the documentation:
- Publication of external documents (for information, execution, validation ...)
- Secure the "workflow" (roles) for each document (Prioritizing the delivery of package of documents)
- Management of remarks file (GCP Ops, customer, supplier, site)
- Identify critical documentation according to the project schedule and realizing the importance of Customer deliverables.
- Innovate new ideas to enhance the progress of documents, communication, deadlines
- Monitoring & Traceability for the Claim
- Generate transmission forms for expected contractual documents and provide them to the customer and suppliers.
- Updating the documentation plan (deadlines & answers stakeholders)
- Regular communication with the "core team" on the documentation plan
- Make regular reporting of progress in coordination meeting (indicators, dashboards ...)
- Guarantee repatriation of documents received outside the documentation portal maintaining their status
- Create and update consolidated KPI specific to project needs
- Oversee subcontractors progress, analyzing their performance & ensure their adherence to the workplan
- Assist in preparing Progress Reports to be submitted to customer and SE top management.
- Monitor the progress during the construction and installation phases.
- Define and Prepare the documents required for final documentation.
- Related to Integrated Change Control stage:
-Provide feedback to project manager to enable him to update the project resource plan.
-Update MDR according to any time impact change order- Related to Close stage:
-Prepare the final documentation as per customer requirements
-Compile documents, prepare hard copies... etc.
-Send final documentation to Customer
-Help Secure Customer approval on final documentation.
-Prepare Lessons Learned Register from the standpoint of documentation.
About You
- Education: Bachelor's Degree
- English Fluency is a must
- Second Language is a plus
Experience:
- Minimum 1 year in being part of a project team
- Experience in working in a plant is a plus
- Experience in using DMS tools is a plus

- Problem Solving Skills

- Understand Project
- Strong MS Excel Knowledge
- Good Knowledge of CPP (PMP) process
