Group Risk Management Function

The objective of our Group Risk Management function is to identify the insurable risks to which the group is exposed and to use risk management techniques to ensure that the group's assets are adequately protected and potential liabilities are avoided in the most cost effective manner.

The company decides centrally the level of external insurance to purchase and how much risk should be carried internally, either by creating reserves in the group's internal insurance vehicle (a captive) or by choosing to carry the risk in the business. The company operates group-wide insurance coverage for all external insurance arrangements.

Participation in group insurance programmes is mandatory unless special arrangements are agreed with the group risk management function.

The group operates polices over the provision of insurance covering the following areas:

  • Participation in group global insurance programmes
  • The appointment and use of the group's chosen insurance broker
  • The operation of effective contractual management in relation to contracts with customers, suppliers and sub-contractors to ensure that liabilities are appropriately transferred to others and that those liabilities retained are within acceptable / agreed limits
  • The prohibition of initiating insurance locally
  • Participation in the group insurance renewal processes
  • Undertaking pro-active loss control activities

Purpose of Role

We require an experienced general administrator to perform the general insurance administration tasks for our North America businesses. The Group Insurance Coordinator - North America will assists with a wide range of routine assignments in specialty areas in Risk Management.

The nature of work involves supporting the Risk Management Program under the direction of the Group Risk Manager - North America. The program addresses all all aspects of the risk management / insurance program, projects and functions including but not limited to Surety Bond Program, Merger and Acquisition process, vendor invoice processing, risk and insurance contract recordkeeping/management, process documents and other Risk Management duties. Assist leadership in the planning, development, and execution of strategies for a comprehensive risk management program. Assist the Risk Management team in accomplishing tasks and duties in areas such as insurance renewals. Be self-driven and consistently exhibit a positive attitude, commitment to the team and company. In this role, you will have to work closely with various stakeholders both internally (Local business managers, M&A, Group SHE, Group Legal) and externally (Insurers & Brokers)

Key Responsibilities

The role's key responsibilities will include:

  • Administration support on the annual Insurance Renewal Process in Origami (in-house RMIS) Partners with various departments to gather information and/or leads the information gathering process for insurance renewals throughout the year. Collect data, create reports, and communication
  • For North America acquisitions, support GRM-NA with Due Diligence exercises, coordinate Broker support for local insurance policy review and coordinate the checklist completions by UK Risk team, including integration of target business into insurance program.
  • Support payroll reporting, filing and payment processing for US Monopolistic WC state programs.
  • Support and coordinate the property risk survey programme with insurers and monitor business performance in completing recommendations
  • Validating and ensuring all necessary documentation distributed in timely manner (Insurance policies/cert/TWIMC/completion of customer questionnaires)
  • Verifies the accuracy of invoices; researches and corrects billing errors; monitors and tracks expenditures, administers and reconciles Workers Compensation imprest account and other risk related accounts,
  • Lead administration of Surety Bond Program with the direction and oversight of GRM-NA
  • Assist in the audit processes for insurance and captive audits
  • Ad-hoc project work for Group Risk Manager- NA and other team members as needed.
  • Respond to requests related to Insurance Compliance forms as needed, i.e. MVA record requests Indiana DMV, etc.
  • General Administration support for the Department

Qualifications, Experience and Skills

Essential

  • Graduation with a diploma in office administration from a recognized educational institution, supplemented by considerable office management experience in a busy office environment; or an equivalent combination of education and experience as determined by assessment
  • Aspiring to become a member of an Insurance professional body
  • 3 to 4 years' experience within an Insurance Administration role
  • Good understanding of commercial policy wordings
  • Excellent English written and verbal communication skills.
  • Demonstrated knowledge of Google Applications (GMail, Google Sheets, G-Suite applications (GMail, Google Drive, Google Docs and Google Sheets) Microsoft Office (Word, Outlook, Power Point, Excel).
  • Time management skills, ability to prioritise work activities and work under own initiative
  • A good eye for technical details and ability to complete all tasks in a thorough manner
  • Positive approach and resilient in the face of obstacles
  • Ability to work well in a fast paced team environment

Desirable

  • Experience in a legal environment, basic accounting and records management would be assets
  • Use of Risk Management Information systems
  • Previous experience of working in a service industry
  • Multi-linguistic
  • Use of a Google Account (emails/calendar/meetings/drive)
  • Full current driving licence.
  • Exposure to commercial Insurance market
