Role Descriptions

The incumbent reports to the Director, Global Policy and Public Affairs, MISP & Pakistan Lead where he/she will provide necessary administrative and operational support for the implementation of Policy and Public Affairs Projects. The primary responsibilities are to coordinate and schedule daily administrative activities, handle arrangements for special functions and events, compile and research data for special reports, prepare documents and communications as directed. He/She will also need to have interfaces with internal staff and external partners on variety of administrative matters resourcefully and manage the details and documents of department meetings, events and any other ad-hoc request.

SOCIAL IMPACT

  • Support the implementation of comprehensive MyREACH plan and activities that position Pfizer as a responsible corporate citizen
  • Assist in the collaboration with other internal business units to coordinate a cross divisional approach to corporate citizenship
  • Support corporate philanthropy and community initiatives and effectively build network and / or alliances with media
  • Write and upload social media updates on MyREACH activities followed by tracking the programs online outreach to enhance public awareness on company initiatives

ADMINSTRATIVE SUPPORT

  • Discuss with reporting manager on a daily/weekly basis to align on administrative support
  • Follow-up information, compile reports and ensure timely submission
  • Initiate and follow-up correspondence, draft routine letters/emails
  • Arrange meetings, travel arrangements/reservations

2. ORGANIZE DEPARTMENT MEETING, EVENT AND SPECIAL FUNCTIONS

  • Assist in department meetings (planned and ad-hoc) and event management including agendas, F&B and logistics
  • Make necessary preparation by booking the meeting venue and other resources such as the LCD projector, computer notebook and virtual meeting facilities to ensure their availability on the day of meeting
  • Co-design meeting flyers and invite
  • Book and setup meeting venue before the meeting by ensuring the readiness of equipment, technology compatibility, meeting set-up and refreshment
  • Minute taking during department meeting and provide written observations during events
  • Consolidate information to complete meeting minutes and timely distribution upon confirmation

SUPPORT ON SYSTEM SUBMISSION, ARIBA/INTERACT/MAPP/CLM

  • Owner of the system support for create and submit requisitions for both goods and services, as instructed
  • Create and submit request for payment and follow up on payment status
  • Create account for new vendor in system when needed
  • Initiate ACM/Interact for 3rd party transactions and ensure timely submission according to MAPP policy. Obtain necessary approval as required

Qualification

  • A minimum bachelor's degree in any science related background
  • Proven strong communication skills both written and conversation
  • Final year student is encouraged to apply
  • Willing to work outside working hours (i.e weekends, as the role involves weekend CSR activities).
