Administrative Support Assistant II, Workforce Management

Overview

To provide a variety of administrative support functions within respective business unit(s), in support of daily operations. Under supervision, follow processes and procedures to accomplish routine tasks. Receive and respond to inquiries from internal/external sources and/or members to ensure effective, timely and accurate service. May serve as contact coordinator by handling general phone calls, directing visitor traffic, and scheduling events/meetings. Fully competent at performing support tasks and responsibilities in functional area. Receives general supervision.

Responsibilities

  • Monitor and respond to inquiries received through various media channels
  • Greet visitors and callers, route and resolve information requests.
  • Collect, prepare, and maintain data for analysis, reports, and reference
  • Sort, and distribute reports, correspondence, and on-line messages
  • Act as liaison between business units in support of operational initiatives
  • Identify, investigate, and resolve discrepancies/processing problems to include documentation and time-sensitive issues
  • Track and update action items in database(s)
  • Complete data entry in automated systems; may generate reports
  • Establish, organize, and maintain filing systems
  • Operate and maintain standard office equipment
  • Maintain hardcopy and/or computer-based files and records
  • Maintain and stock essential materials and supplies
  • Perform other duties as assigned

Qualifications

  • Ability to work independently and in a team environment
  • Effective clerical, technical or administrative skills
  • Effective keyboarding/typing skills
  • Effective skill reviewing documents for errors, inconsistencies, or missing information
  • Effective word processing and spreadsheet software skills
  • Effective skill applying research and interpretation of findings to respond to requests
  • Effective skill exercising initiative and using good judgment to make sound decisions
  • Effective skill following, interpreting, and applying guidelines, procedures, practices, regulations
  • Effective skill maintaining accuracy with attention to detail and meeting deadlines
  • Effective skill performing mathematical calculations and working accurately with numbers
  • Strong written and verbal communication skills, with a professional and clear approach to internal and external correspondence
  • Basic research, analytical, and problem-solving skills
  • Typically requires: High School diploma or GED, at least 2 years of related experience

Desired Qualifications

  • Working knowledge of NFCU products, services, programs, policies, and procedures
  • Proven experience in project coordination, including tracking deadlines, managing logistics, and supporting cross-functional teams
  • Exceptional time management skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Experience using Asana or similar project management tools to support task tracking, team collaboration, and workflow optimization

Hours: Monday - Friday, 8:00AM - 4:30PM
