As a Sr Analyst, you'll support to the on-site management and operations team with a strong emphasis on tenant relations/retention, operational excellence and strong financial results.

Job Description

Key Responsibilities:  

  • Assist the Property Manager in all aspects of the day to day operations of our commercial portfolio

  • Provides support for maintenance team including, but not limited to, invoice tracking, service request reports, OSHA compliance, uniforms, phones and new hire onboarding.

  • Develops an in-depth understanding of the operations of the physical asset and assists the Property Manager and Maintenance Team. This will include knowledge of all contract services, and other important property specific features.

  • Creates and distributes professional and timely written correspondence. Builds working relationships with tenants, vendors, maintenance and various company departments.

  • Complete administrative tasks, including expense reports, coding invoices, scheduling and tracking warranty requests, cataloging project close out information, providing coverage and assistance on any NRI building operations or property initiatives requiring support

  • Processes payables and researches past due amounts. May reach out to tenant regarding past due amounts and provide necessary back up.  

  • Performs monthly utility bill-backs, new utility account set-up and termination. Maintains current tenant roster, certificates of insurance and retail sales reports.

  • Assists Property Manager or Maintenance Team with procuring competitive contract bids and preparing service agreements.

  • Processes and coordinates move in and move out schedules and associated tasks for new and expired tenants.

  • Acts as Manager on Duty in absence of the on-site Property Manager or Sr Coordinator.

May perform other responsibilities as assigned.

Reporting Relationships:  Reports to Manager.  This is an individual contributor role.

Typical Skills and Experiences:  

Education:  Undergraduate studies business, real estate, facility/property management or related subject area. 

Experience:  Three to five years of relevant experience in commercial real estate, facility/commercial property management, business managements, legal, construction, or other relevant experience.

Knowledge, Abilities and Skills:  Commercial property management and facilities projects, project management techniques, construction and design, basic accounting and financial principles. Policies and procedures associated with commercial facilities and related activities. Contract and service level agreements negotiation and review. Legal document preparations. Must have strong interpersonal, communication and facilitation skills to effectively participate in and conduct client and project team meetings. Ability to work across team lines by building collaborative relationships, gaining support and resolving conflicts. Ability to research, analyze and make decisions related to property management issues

Other criteria, including leadership skills, competencies and experiences may take precedence. 

Staffing exceptions to the above must be approved by the hiring manager’s leader and HR Business Partner.
