POSITION SUMMARY

The Natera Executive Services Organization is seeking an experienced Senior Executive Assistant who will provide administrative support to executive members of the Women's Health team and their groups as needed. The perfect candidate has a polished executive presence and will be able to provide high caliber administrative support, anticipate needs, problem solve and be a true partner to the business leaders all while strengthening team collaboration and morale. Entry-level management experience or interest in managing a small team preferred.

  • Oversee the administrative function of our Women's Health business; support all leaders and scale team appropriately over time aligned with business needs
  • Proactively manage complex calendars using Google Calendar including vetting, prioritizing, and providing recommendations
  • Run weekly staff meetings, including collection of materials and tracking of action items
  • Assist executives with recruiting efforts and act as a liaison between the teams and Human Resources.
  • Establish and maintain effective professional business relationships with all levels of management and employees
  • Provide back-up assistance to other Executive Service Organization team members as needed
  • Ability to negotiate with vendors and plan creative events often against tight timelines
  • Assist with event planning and coordination for team meetings, all-hands meetings, strategic planning meetings, business reviews etc.
  • Make travel arrangements and process travel expense reports based on direction from traveler
  • Follow up and provide reminders on project deadlines, AIs, and deliverables
  • Assist with ensuring the timely review and submission of expenses
QUALIFICATIONS
  • Minimum of 6 years of experience in an administrative capacity supporting executive team members
  • Prior experience at a public company or large corporation (over 1k employees) preferred
  • Bachelor's degree preferred
KNOWLEDGE, SKILLS, AND ABILITIES
  • Strong command of Google Suite, Microsoft Office, including Word, Excel, and PowerPoint.
  • Strong communication skills, including writing, proofing, speaking, and listening.
  • Excellent demonstrated organizational skills and attention to detail.
  • Demonstrated efficiency, speed, and accuracy.
  • Ability to coordinate multiple tasks simultaneously and effectively prioritize.
  • Tolerance for changing work priorities and deadlines and willingness to take on additional responsibilities as needed.
  • Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight
  • Ability to handle confidential information with discretion
PHYSICAL DEMANDS & WORK ENVIRONMENT
  • Duties are typically performed in an office setting.
  • This position requires the ability to use a computer, various software programs, communicate over the telephone and read printed material.
  • Duties may require working outside normal working hours (evenings and weekends) at times.
