SENIOR CONFERENCE & EVENTS PLANNER SUMMARY Events Marketing is a global team supporting Morgan Stanley businesses worldwide to plan and execute exceptional client events. The Marketing organisation is part of Integrated Firm Management, which drives coordination and commercial outcomes across our businesses as we consistently and systematically deliver Morgan Stanley to all our clients globally. The team responsible for events in the EMEA region are based in our London headquarters at Canary Wharf, delivering events primarily in London/UK, Europe and the Middle East. The team supports across all businesses of the Firm, including Sales & Trading, Investment Banking, Investment Management and Corporate. Reporting to the Head of Conferences in EMEA, the senior planner role is responsible for creating and delivering market-leading client conferences and experiences in partnership with business unit sponsors. The successful candidate will be interested in Finance and keen to develop a strong understand the business objectives, strengthening relationships and being a trusted advisor to the business. In addition to core planning skills, this role requires leadership, creative and technical skills to continually innovate and enhance the deliverables, striving to consistently exceed expectations. This is a full-time office-based role in Canary Wharf and involves regular travel within the EMEA region for site visits and event delivery. KEY RESPONSIBILITIES > Planning and executing a broad range of Firmwide conferences and events, including flagship and C-suite level conferences and events > Working as part of a team for larger conferences, either as lead or on specific elements eg. Dinners/satellite events, client liaison, onsite staff and vendor management > Advisory to business hosts, thinking creatively to identify solutions that meet their needs whilst adhering to best practices and procedures, including budget approval, client data management, compliance, contracts and risk management, data protection, brand, timeline planning etc > Management and development of key supplier relationships; ensuring delivery of services are met / exceeded. Actively manage cost negotiation with supply chain, including Venue Sourcing Agency. > Ownership of budget throughout event lifecycle. Create and maintain detailed excel budget through event lifecycle and follow appropriate escalations where necessary. Timely and accurate invoice tracking and processing. > Propose and implement best practice invitation process, working with BU to create invitee lists in optimal format. Working with Web team to build Firm branded websites and mobile applications. > External Speaker research and management: maintain relationships with speaker agencies, understand risks and seek internal approvals, contracting, briefing calls and logistics > Sound knowledge and adherence to all Legal & Compliance Department and Anti-Corruption Group requirements, including managing participation of Government Officials. Ownership of invitee pre-approval process, transparency letters, etc. > Collaborating with Sourcing & Legal around contract process, using and tracking Morgan Stanley MSA's and addendums as appropriate > Working with Design Studio to create timeline for save the dates, invitations, agendas, speaker information packs, website branding, print collateral and other marketing materials > Detailed liaison and co-ordination with internal audio-visual team: pre-production, set & staging, webcasting, presentation release (in conjunction with business legal teams), mobile & social media applications etc > Facilitate effective sharing of appropriate information by ensuring all reporting requirements are accurate and met on a timely basis (eg. event reports, time tracking, savings and value adds) > Host post event de-brief, provide reporting & feedback analysis. Scheduling dates for following year and instigating event planning cycle. KEY STRENGTHS REQUIRED > Minimum 6 years related experience in event planning in the Investment Banking industry, including leading key franchise events > Proven ability to engage with and influence senior stakeholders and clients > Ability to lead, innovate, propose solutions, influence, make and own decisions > Excellent knowledge of 5* venues and relevant vendor relationships > Good working knowledge of and interest in Event Tech > Ability to multi-task and prioritise workload, working under pressure to deadlines whilst maintaining a high standard of accuracy > Flexible and willing to work long hours (evenings, weekends) and travel when required > Strong team player, do what it takes to get the best outcomes and always maintaining high standards of excellence > Excellent oral and written communication skills > Proficiency with Excel and PowerpointWHAT YOU CAN EXPECT FROM MORGAN STANLEY:We are committed to maintaining the first-class service and high standard of excellence that have defined Morgan Stanley for over 89 years.
