Our Munich team consists of a diverse group of ten professionals with expertise in client service, advisory, compliance, finance, and operations. We work closely with our international colleagues to ensure a seamless global experience for our investors. Our centrally located office-just steps from Odeonsplatz and a short walk to the English Garden-offers a beautiful and convenient working environment in the heart of Munich.

The Role
As Executive Assistant, you will play a key role in supporting the four Germany-based senior executives of the Client Service and Advisory team. Your contributions will directly impact our ability to deliver outstanding service to our investors by ensuring operational efficiency, smooth scheduling, and excellent communication.

Your responsibilities will include:
  • Proactive calendar management and meeting coordination for senior leaders (including liaising with internal and external stakeholders to organize high-priority calls, internal planning sessions, and international meetings)
  • Supporting business travel planning and logistics
  • Handling confidential information
  • Support smooth day-to-day operations for your Munich team (incl. Team dinner planning, managing office supplies and mail, coordinating with vendors, conference room booking with the office reception, etc.)
  • Partnering with administrative colleagues across global locations to ensure alignment and support
  • Very strong computer skills, particularly working with Zoom and Microsoft Office Suite (including Teams and Outlook)
  • Support the Munich-based Client Service team with investor-related tasks and investment administration, as capacity allows - With the long-term opportunity to grow into a Client Service role and take on broader responsibilities in client service, if desired.

You are:
  • A professional with strong organizational and time management skills
  • Comfortable working with senior stakeholders and maintaining discretion with sensitive information
  • A team player who enjoys supporting others and contributing to shared success
  • Proactive, resourceful, and eager to take ownership of tasks big and small
  • Fluent in German and English (spoken and written)
  • Proficient in Microsoft Office and open to learning new tools
  • Prior experience as an Executive Assistant, Team Assistant, or in a similar administrative role is preferred.
