Position
MIO's Core Administrative function seeks an Executive Assistant to provide high-level administrative support to its Investments team. The Executive Assistant's core responsibilities will include managing complex calendars, scheduling internal and external meetings, coordinating domestic and international travel, preparing expenses and timesheets, and providing general administrative assistance as needed to support the operations of the team. The ideal candidate must enjoy working in a fast-paced environment and have a strong track record of providing exceptional administrative support.
The administrative support team provides daily coverage from 9 AM-6 PM, Monday-Friday, with flexibility to earn overtime depending on the workload.
Primary responsibilities
- Efficiently manage complex, dynamic calendars, balancing internal meetings, external engagements, and personal commitments while anticipating and resolving scheduling conflicts.
- Take full ownership of scheduling requests, proactively communicating changes, resolving conflicts, and making sound recommendations aligned with executive preferences.
- Triage all incoming requests, prioritize accordingly, and keep requestors informed of status updates and progress to ensure transparency and timely execution.
- Ensure internal and external meetings are set up with the required resources for in person and remote participants (conference rooms, video links, AV/IT needs).
- Coordinate international and domestic travel.
- Prepare, reconcile, and submit timesheets and expense reports accurately and on time.
- Assist in the creation and editing of professional documents in PowerPoint, Word, and Excel.
- Build strong cross-functional relationships and serve as a liaison between internal departments.
- Provide back-up support to the administrative team as needed.
- A bachelor's degree from an accredited university is required.
- 3-5 years of experience providing high-level administrative support to Investments executives and/or Portfolio Managers in financial services is preferred.
- Highly proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication skills, with strong typing, proofreading, and professional document preparation abilities.
- Exceptional organizational and administrative skills, with keen attention to detail and the ability to multitask effectively in fast-paced, dynamic environments.
- Self-motivated and independent, demonstrating strong ownership, accountability, and a proactive mindset.
- Adept at prioritizing tasks and making sound, timely decisions based on a solid understanding of business operations and priorities.
- Strong problem-solving and critical thinking skills, with the ability to exercise sound judgment and discretion in handling sensitive or confidential matters.
- Team-oriented and collaborative, with excellent interpersonal skills and the ability to build effective relationships at all organizational levels.
- Highly professional presence in all forms of communication.

Base salary range
$90,000-$90,000 USD
