Job Description

Position Purpose

The Agency OneTwentyThree (A123) Meetings Associate operates across all meetings workstreams and in partnership with all A123 towers and team members. This role both leads smaller and supports larger meetings and meetings related projects. They will coordinate efforts with internal business and supplier partners to deliver projects from initial phases through completion. They will be expected to work within meetings and project management software, manage budgets and deliver accurate reporting. They should be a team player who actively participates in the decision-making process, supports company decisions and is an advocate of the brand. They must be well-versed in all A123 teams, services and solutions and champion A123 work with our business partners.

Business Results

  • Execute multiple project work streams concurrently, executing role of project support or lead to ensure customer projects executed within expectations, timelines and budget.
  • Develop project scope, communication, action and tracking plans
  • Provide project coordination and direction to teams
  • Acquire and manage the project resources, people, and budget
  • Communicate effectively with project team and business partners
  • Identify and manage potential challenges during the project
  • Contribute toward achieving department goals and objectives
  • Maintain awareness of McDonald's Meetings Management program within the system
  • Leverage available communications channels to promote A123 and educate the system

Process Results

  • Follow processes that enable planning, organizing, executing, and completing meetings projects
  • Reflect on the project throughout the planning and execution, and conducts post event analysis and reporting
  • Develop and manage project budgets
  • Liaise with A123 account team and project managers to communicate project needs
  • Educate and engage A123 stakeholders around our services and solutions
  • Develop and coordinate communications content from subject matter experts/content coordinators and distribute across appropriate channels to educate A123 stakeholders
  • Develop and deliver key department reports with thorough understanding of all points of data entry to ensure reporting proficiency
  • Proficient in all aspects of Cvent and WorkFront program administration, processes and tools.
  • Participate on A123 and McDonald's cross-functional teams that elevate A123 services and solutions
  • Manage the Meetings and Events Master Calendar in partnership with varied stakeholders
  • Partner with Workplace Solutions to ensure maximization of the Conference Center and MHQ
  • Support M3 Digital Engagement Tools as needed

People Results

  • Communicates McDonald's guidelines and business policies and procedures to A123 stakeholders and M3 Meeting Owners
  • Communicates with McDonald's M3 supplier partners to ensure M3 optimization and reporting
  • Provides guidance and training as needed to M3 Meeting Owners and A123 stakeholders
  • Demonstrates excellent interpersonal skills

Qualifications

Must be fully vaccinated (i.e., at least 2 weeks after last dose) for COVID-19 and, if hired, present proof of vaccination by start date.

  • Bachelor's Degree Preferred
  • 3+ years' experience in Meetings/Events/Exhibit Management/Production Coordination
  • Experience with internal or external agency, creative, meeting planning or travel departments and client or account management practices
  • Strong verbal and written communicator including ability to present to groups
  • Ability to manage multiple projects simultaneously, maintaining precise attention to detail, upholding high standards of excellence and always meeting deadlines
  • Able to modify approach/style and apply to new and different situations
  • Strong business and financial acumen and a good understanding of business strategy with an ability to lead and influence.
  • Prior success leveraging interpersonal skills to influence behavior and operate in complex team environments
  • Ability to rapidly shift gears and accommodate changes and incorporate new information with minimal disruption.
  • Takes on challenges with enthusiasm and optimism
  • Strong knowledge operating in multiple technology platforms to include, Microsoft, Cvent/SMM, Project Management software and a variety of communication content management platforms
  • Understanding of SMM principals and procurement processes
  • Comfortable in both independent and collaborative work
  • Experience driven mindset
  • Easily builds rapport, networks across a variety of customers and colleagues
  • Experience working with all levels of management and staff
  • Ability to identify process opportunities and implement process improvements
  • Proficient in Reporting and Data analysis
  • Experience working cross-culturally and cross-functionally
  • As necessary, work additional hours/weekends to complete tasks
