Job Description:

This role will play a critical role in the vision, strategy, and execution for the delivery of a contemporary, efficient, and engaging workplace. This position is also responsible for the management of the support services function, which includes the Facility and the Executive Assistant teams who support the MLT, the Mars Family and Board Members, as well as all Senior Leaders in Corporate.

What are we looking for?

  • Bachelors degree preferred.
  • 5 or more years of progressive Facilities Management experience, including 3+ years in a supervisory position with direct line management experience, specifically within support services function is strongly preferred.
  • Demonstrated ability to develop strong trusting relationships in order to gain support and reach strategic business goals
  • Strong consulting skills and ability to influence decisions to a positive business outcome
  • Good business acumen / business experience
  • Strong analytical, problem-solving, critical thinking and decision-making skills, using a comprehensive approach with strong attention to detail
  • Excellent oral and written communication skills
  • External perspective and a continuous improvement mindset to drive challenge into existing process and drive for iterative improvements
  • Excellent interpersonal communication skills (high degree of political savvy)
  • Ability to handle multiple tasks and readjust work priorities in a dynamic environment: knowing when to make tradeoffs, escalate, engage a third parties for help, etc.
  • Experience improving and managing customer focused organization solutions

What will be your key responsibilities?

  • Lead and manage the team responsible for Facility Operations as well as having direct line management for our team of Executive Assistants responsible for supporting our MLT members and indirect responsibility for further EA roles supporting leadership & functional teams.
  • Ensure the most efficient framework is in place to enable senior leaders to focus on critical business issues and that the office operations run smoothly in line with the Mars culture and Five Principles.
  • Responsible for appropriate stakeholder management of the MLT Hub team in all matters relating to the MVA site including Associate engagement activities such as Holiday parties/social events.
  • Accountable for $2M operations budget..
  • Manages and implements change management plans & strategy for office space utilization, experience, migration of new technology, and ongoing administrative services delivery for current and future needs.
  • Regularly monitors site attendance and resource usage data to make decisions on continuous improvement initiatives working closely with P&O, IT and Real Estate/Workplace Experience teams to anticipate changing requirements.
  • Works closely with Corporate Affairs team members responsible for MVA Communications to ensure messages are supporting change and engagement initiatives.
  • Develops the approach to site offerings/amenities/concierge services.
  • Coordinates logistics in MVA for all Associate office activities to drive Associate engagement.
  • Ownership for delivering a consistent office aesthetic and branding across the site.
  • Manages 3rd party vendors, including cleaning, food services, landscaping and security, either directly or via Facilities Manager as appropriate.
  • Leads and manages the site's emergency protocols around safety and security along with security director and facility manager.
  • Ensure an effective support structure is in place, adapting coverage plans, hiring and staffing, coaching and mentoring Associates, aligning team objectives as well as focusing on development planning.
  • Building a highly engaged team to drive a Five Principles based culture.
  • Oversees calendar of meetings and activities hosted at MVA site.
  • Coordinates day to day facilities communications to Associates - site closures, inclement weather advisories with focus on minimizing disruption to Associates (providing oversight with each site manager responsible to execute).
