Program Coordinator
Description
We are seeking a Program Coordinator to support a large facility maintenance program management team. This highly organized and detail-oriented candidate will oversee the management, coordination, and execution of facility-related programs within a federal facility. They will ensure that all facility projects comply with government regulations, contractual obligations, and operational standards. The ideal candidate will have experience in facility management, project administration, and government compliance protocols. Strong administrative skills, the ability to collaborate with multiple stakeholders, and a deep understanding of facility management best practices are essential for success in this role.
Primary Responsibilities:
- Provide administrative and operational support to program and project managers across multiple initiatives
- Track program schedules, milestones, deliverables, and resource assignments using project management tools
- Maintain and organize program documentation, including contracts, reports, schedules, and meeting notes
- Support the development of program-related materials such as proposals, presentations, and status updates
- Coordinate meetings, briefings, and communication between internal teams and external partners
- Assist with monitoring budgets, procurement actions, and expenditures in support of program goals
- Identify and support process improvements to increase program efficiency and accuracy
- Manage risks and action items by tracking resolutions and following up with responsible stakeholders
- Support program evaluations and reporting by collecting, organizing, and analyzing data as needed
- Ensure adherence to program standards, procedures, and compliance requirements
Basic Qualifications
- TS/SCI w/ Poly Clearance is required
- Bachelor's degree in Business Administration, Project Management, or related field
- Equivalent experience may be considered in lieu of a degree
- 4-8 years of relevant experience in program or project administration or coordination (or 2-6 years with a Master's degree)
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), and experience using project tracking tools (e.g., MS Project, Smartsheet, or similar)
- Strong organizational and time management skills with attention to detail
- Experience managing and tracking budgets, schedules, and deliverables
- Ability to communicate effectively across multiple teams and levels of leadership
- Knowledge of general program management principles, risk tracking, and reporting processes
- Strong problem-solving skills with the ability to adapt to changing priorities
Preferred Qualifications
- PMP-CAPM (Certified Associate in Project Management) or similar certification
- Experience supporting government contracts or working in regulated industries (e.g., defense, healthcare, aerospace)
- Familiarity with writing or assisting with project or program proposals
- Experience using collaboration and workflow tools like SharePoint, Confluence, JIRA, or Trello
- Knowledge of procurement processes, vendor coordination, or resource management

Pay Range:
Pay Range $72,150.00 - $130,425.00
