About the role:

This role provides support for the day-to-day operational requirements relating to Global Mobility programs and tasks for the process of the global immigration programs and other compliance matters.

UK/EU Immigration:

  • Review incoming requests for visa assessments from recruiters and assign cases to immigration providers for processing.
  • Prepare assessment information received from vendors for communications with TA/HRP and initiate assessments with counsel as required.
  • Assist with preparing immigration applications for all regions, posting ads, organizing letters and working with our external vendors.
  • Provide immigration provider with requested data (i.e., employee's salary, employee's and manager email addresses, layoff information, etc.).
  • Coordinate approval process for upcoming visa expiries and liaise with external counsel to initiate extensions.
  • Run comparison reports to identify visa holder terminations for review, notify the vendor, and or the authorities as applicable.
  • Ensure immigration trackers are complete.
  • Complete RTW checks for the UK and EMEA for foreign nationals, prepare the assessment information and initiate assessments with counsel as required.
  • Assist with business traveler tracking records for the UK and reporting to be reviewed by the GM Sr. Director
  • Swiss Work Permit Filing on Sharepoint
  • Run terms report in WD to identify EMEA terms for immigration purposes and withdrawal processes.
  • Regular audit of new hire immigration information for UK hires and global audits as required.
  • Complete and prepare reporting for senior management review.

US Relocation Program:

  • Review and respond to general inquiries/requests from recruiters, employees, and relocation vendor as appropriate
  • Assist with in-country US assignments, prepare assignment letter, cost estimates, tracking for extensions, assignment end dates
  • Review incoming relocation initiation requests and approve; review any exceptions with GM SR Director
  • Assist with the terminations process for US Program:

    • Identify employee terms with relocation repayments due
    • Calculate employee's relocation repayment portion for Sr. Director review
    • Liaise with HRPs, Payroll and Legal (as needed)
    • Provide final costs and specifics and repay terms to vendor for collection

Tax and Compliance:

  • Monitor Certificate of coverage and A1 expiries for assignees and business travelers/assignees
  • Assist with the preparation of the UK relocation / assignment data for the UK P11D and PSA Annual reporting

Invoices, Reporting, Shared Mailboxes:

  • Submit weekly/monthly vendor invoices for payment
  • Provide invoice reporting to finance teams
  • Monitor vendor invoice payments and follow up to ensure timely payment
  • Monitor Immigration/Relocation Mailboxes, and assign appropriate Global Mobility team members

Global Mobility Projects/Processes:

  • Assist with HR Central GM Content Review and Updates for applicable programs.
  • Participate in process documentation/updates/reviews
  • Perform other duties as assigned by management including projects as required.

Minimum Education and Experience Requirements:

  • Bachelor's degree (or international equivalent) in Business Administration, Human Resources, or a related field.
  • 2 years of experience in global mobility, international relocation, immigration, or tax programs
  • Knowledge of Immigration Processes & Applications
  • Strong organizational skills
  • Attention to detail and ability to manage multiple priorities.
  • Proficiency in Microsoft Office suite (Excel, Word, PowerPoint)
  • Experience in HRIS systems, and data reporting tools, data file compares (v-lookup, etc).
  • Effective communication and interpersonal skills in a cross-cultural environment.

Preferred Qualifications:

  • 4 years of experience in global mobility, international relocation, immigration, tax programs
  • Immigration/Tax Compliance experience
  • Tax and Social Security Knowledge
  • Recognized Global Mobility Qualification (GMS, CRP)
