JOB DESCRIPTION
Position Summary:
Support the Regional Construction Director, Construction Managers, and Project Managers with administrative duties associated with Facility Engineering Regional Construction. RESPONSIBILITIES
- Essential Job Functions:
- Set up and maintain core project information, primarily through the use of our Construction Project Management System.
- Administer expense accounts and credit cards.
- Organize and maintain electronic and/or hard copy files and department schedules through site|folio
- Ability to run reports from internal applications
- Assist in collecting, organizing and analyzing data from reports.
- Champion training and support for department on new systems/software.
- Complete the associate on-boarding process and separation documents.
- Bid process coordination, preparation, scheduling, award communications and tracking.
- Assist project managers in the preparation and distribution of contracts and support contract administration.
- MS Excel report preparation and updates utilizing information from site|folio, ePRO, Business Objects and other Kroger systems.
- Prepare communications to both internal and external stakeholders that are clear and concise, supporting efforts to significantly improve associate and vendor engagement.
- Set up meetings and conference calls, and maintain department calendars.
- Produce and assemble materials and documents needed for meetings, training sessions and presentations.
- Transcribe and/or compose letters, memos, punchlists and reports, and distribute.
- Assist project managers with confirming project closeout responsibilities are completed.
- Support efforts to document and resolve any jurisdictional/agency requirements.
- Work with Minority & Women's Business Enterprise (M/WBE) Champion to maintain master list of vendors, track participation and report to G.O.
- Book travel arrangements, (air, hotel and rental car) as requested for weekly travel and department meetings.
- Other administrative duties, including answering phones, plotting plans, copying, scanning documents, etc.

QUALIFICATIONS
- Desired Previous Job Experience
- 3 plus years of secretarial/administrative support experience with customer focus
- Basic knowledge of construction industry
- Prior experience with supporting several managers
- Proven administrative and organizational skills
- Strong attention to detail
- Self-directed; proven ability to plan, organize work and follow responsibilities through completion
- Excellent interpersonal skills, including verbal communication, listening skills, diplomacy in dealing with people, ability to work in a team environment
- Proficient in Microsoft Office with the ability to learn new computer program
- Knowledge of basic accounting principles
- A high degree of confidentiality is required
- Ability to travel independently
