JOB DESCRIPTION
Provide administrative support and problem-solving assistance to the Vice President/Chief Ethics and Compliance Officer, the Director of Environmental Compliance and the Ethics and Compliance Department. RESPONSIBILITIES
- Coordinate department events, on-site and off-site meetings, conference calls, travel and other assignments
- Produce and assemble materials and other documents for presentations to groups, including the Audit Committee of the Board of Directors
- Manage the security of highly confidential, sensitive information
- Prepare, coordinate, and distribute numerous reports, as well as manage the annual ethics questionnaire
- Assist in the coordination of Company activities as needed by the executive
- Prepare general and department correspondence and promptly and accurately respond in writing and verbally to communications directed to the executive and/or the staff
- Coordinate annual budget
- Develop a team concept with the Vice President in order to provide, as an extension of the V.P., the leadership and direction necessary to exemplify the philosophy of that office
- Serve as Secretary for various Compliance Committees, prepare agendas, take and maintain meeting minutes
- Update and maintain compliance program documentation
- Coordinate and communicate with senior executives and outside business partners
- Provide assistance to associates with questions about company policies and procedures
- Process bills and track fees and expense
- Provide vacation coverage for other assistants

QUALIFICATIONS
Minimum
- Strong analytical and problem-solving skills
- Ability to handle sensitive information while maintaining a high degree of confidentiality
- Self-motivated with proven project management skills and a strong attention to detail
- Demonstrated positive attitude and flexibility
- Ability to organize and prioritize a variety of tasks and projects
- Proficient in Microsoft Office; ability to quickly learn new computer applications, (e.g. Business Objects)
- Ability to handle routine tasks and resolve issues with a high level of independence and initiative
Desired
- Department Secretary or Executive Assistant experience
- Data Analytics skills
- Advanced in Microsoft Office
- Familiar with corporate policies and procedures, organizational levels and reporting relationships
