Executive Assistant - Remote Opportunity!

We are seeking a highly organized, proactive, and professional Executive Assistant to provide dedicated support to two of our fantastic field leaders and their respective teams. This full-time, remote role is ideal for a detail-oriented individual who thrives in a dynamic, fast-paced environment and can prioritize with efficiency, empathy, discretion, and strong interpersonal skills.
In addition to typical executive support, including calendar, travel, and expense management, this role is instrumental in helping leaders resolve client concerns by providing thoughtful, tactful, and timely communication.
Responsibilities:
- Manage and maintain calendars for two field leaders, including scheduling meetings, appointments, and travel arrangements.
- Coordinate virtual and in-person meetings across multiple time zones, including agenda preparation, note-taking, and follow-up actions.
- Provide on-site meeting support as needed. Travel to support on-site meetings approximately 4 times annually.
- Handle confidential information with a high degree of discretion and professionalism.
- Support leaders in addressing client (parent) concerns with compassion, professionalism, and tact.
- Serve as a point of contact between field leaders and internal/external stakeholders, including families.
- Assist with the preparation of presentations, reports, and team communications.
- Track and manage project timelines and deliverables, ensuring alignment with team priorities.
- Support onboarding processes for new team members.
- Manage expense reports, approvals, and other administrative workflows.
- Coordinate team meetings, virtual events, and offsite logistics (as needed).
- Provide general administrative support to both leaders and their field teams.
- Provide backup support to fellow Executive Assistants during absences.
- Other duties as assigned.

Qualifications:
- 5+ years of experience in an Executive Assistant or similar administrative role, with at least 3 years supporting multiple leaders.
- Proven ability to manage sensitive and confidential information.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite, Workday, and virtual collaboration tools (e.g., WebEx, Slack, Teams).
- Self-starter with a high level of initiative and attention to detail.
- Bachelor's degree preferred (or equivalent relevant experience).
- Ability to work independently in a remote environment while staying connected to distributed teams.
