As an Executive Assistant within the Wealth Management, Asia Client Service team, you will provide comprehensive administrative support, assist with departmental operations, and contribute to a variety of projects and initiatives. You will help ensure smooth execution of daily activities and support a collaborative, high-performing team.
Job responsibilities
- Provide comprehensive administrative support to the Asia Client Service team, ensuring seamless daily operations
- Assist with centrally managed responsibilities for the Asia Wealth Management business
- Coordinate day-to-day logistics, including scheduling meetings, organizing events, and arranging occasional business travel
- Manage expense reports, invoices, and claims with accuracy and timeliness
- Book meeting rooms, order office supplies, handle collection and distribution of documents
- Oversee staff onboarding and offboarding processes, ensuring a smooth transition for new hires and departing employees
- Perform additional administrative tasks and ad hoc support as needed
Required qualifications, capabilities, and skills
- Minimum of 5 years of administrative experience within financial services or a corporate environment
- Outstanding communication and interpersonal skills, with the ability to interact effectively with colleagues and clients from diverse backgrounds
- Superior organizational skills and a keen eye for detail
- Proven ability to work both independently and collaboratively as part of a team, while managing multiple priorities under pressure to meet deadlines
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
- Demonstrated professionalism, discretion, and a commitment to maintaining confidentiality
