As an Executive Assistant in the Corporate Responsibility team, you will support the Global Head of Philanthropy and senior managers in London. You will manage multiple executive portfolios, ensuring seamless operations and effective communication. Your role is pivotal in facilitating interactions with stakeholders and contributing to the team's success. We value your proactive approach and partnership skills, offering a platform for growth and impact.

Job Responsibilities:

  • Manage complex schedules and calendars in a dynamic environment
  • Schedule meetings in-person and via video conferencing, handling logistics
  • Respond to scheduling inquiries on behalf of managers
  • Arrange and maintain travel arrangements for international and domestic trips
  • Reconcile and complete expense reports
  • Coordinate logistics for department-wide meetings and offsites
  • Assist with ad hoc administrative tasks, including office real estate and tech needs
  • Support internal team programming and onboarding/new hires
  • Collaborate positively with other administrative assistants across the firm

Required Qualifications, Capabilities, and Skills:

  • Experience in an administrative assistant role supporting multiple executives
  • High attention to detail and follow-through for accuracy
  • Exceptional verbal, written, and interpersonal communication skills
  • Integrity and professionalism in handling sensitive information
  • Sound judgment and strong problem-solving skills
  • Positive self-starter with proactive approach and partnership skills
  • Excellent time management and prioritization skills
  • Mastery of Microsoft Office applications and Zoom

Preferred Qualifications, Capabilities, and Skills:

  • Knowledge of Concur, Salesforce, and Ariba systems
  • Ability to work five days in the office without hybrid options
  • Experience in a fast-paced environment
  • Collaborative skills to work with senior management
  • Ability to manage multiple workstreams across different teams
  • Strong organizational skills for interacting with stakeholders
  • Ability to support global philanthropy efforts
