As an Executive Assistant in Cybersecurity and Technology Controls, you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. This role supports the Global Technology Regulatory Exam Management team in the U.S. which handles technology focused regulatory examinations and regulatory engagements conducted by banking and securities regulators, including the OCC, FRB, FDIC, SEC, FINRA, CME, NFA, and State regulators. Your daily routine includes interaction with various executive level internal clients in Global Technology and across the Lines of Business and Corporate Functions. You will interact with examiners at the regulators to schedule meetings with the firm. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.

Job responsibilities
- Maintain complex and detailed calendars
- Work with administrative assistants and internal personnel to schedule internal and external meetings
- Work with regulators (by email and phone) to schedule external meetings
- Manage the coordination and logistics of in-person meetings, including reserving rooms and printing of meeting materials
- Manage and update team spreadsheet for upcoming internal and external meetings
- Enter updates into firm's system of record for recording meetings and other regulatory engagements with regulators
- Produce high quality emails and messages to individuals at all levels of the organization
- Handle regular activities without prompting, and advise in advance with issues or delays
- Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
Required qualifications, capabilities, and skills
- At least five years of administrative experience
- Advanced ability to organize
- Discretion and good judgment in confidential situations, and proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Strong proficiency in Microsoft Office - Word, PowerPoint, Excel, and SharePoint
- Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
Preferred qualifications, capabilities, and skills
- Experience supporting at the Executive Director level (or equivalent) or above
- College degree is a plus
Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
