Business Assistant - Markets

As a Business Assistant in our Markets team, you will find that your day is a blend of dynamic tasks and meaningful interactions. From coordinating meetings, managing schedules, booking complex travel, to preparing essential documents and facilitating communication among team members, your role is pivotal in ensuring the smooth operation of our team. Your exceptional organizational skills and proactive approach will help streamline processes, allowing our Sales Teams to focus on delivering top-tier results.
Job responsibilities
- Handle all logistics for client meetings, including taxi and room bookings, and printing.
- Manage proactive diary for swift client meeting setups.
- Handle client interactions professionally, maintaining a high level of confidentiality both internally and externally.
- Coordinate intricate travel arrangements, including flights, check-ins, VISAs, accommodation, and transportation, adhering to Corporate Policy, and manage frequent last-minute changes.
- Organize all aspects for offsite conferences and external events, including catering and transportation.
- Processes invoices and T&E expense claims for team members (Concur) in a timely manner. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter expert for policies and procedures.
- Navigate internal systems and trainings, staying informed about Corporate Policy (Cross-border, Compliance, Security travels, expenses).
- Produce high quality emails and messages to individuals at all levels of the organization.
- Take ownership for regular tasks without prompting, and advise in advance of issues or delays. Display good use of initiative and follow through to completion.
- Assist in editing spreadsheets and presentations, including printing and binding, for client meetings. Maintain current organizational charts and Executive Bios.
Required qualifications, capabilities, and skills
- Strong, executive communication style (written and oral) in both French and English. Excellent telephone etiquette.
- Polished, professional approach, calm and composed manner, ability to work in a pressured environment, team player with potential to act as a role model and lead by example, who can build networks and work in partnership - solution orientated.
- Experience of effectively arranging travel, production of accurate itineraries, plan B & C, able to navigate systems well and apply good judgment on how to optimise travellers time.
- Full competency in diary management, with the ability to understand competing priorities.
- Tact and good judgment in confidential situations, and proven experience interacting with senior management. Can quickly grasp the political landscape and key people within the organization.
- Strong proficiency in Microsoft Office.
- Has an understanding of the culture of a Commercial & Investment Bank.
