JOB SUMMARY
The Administrative Services Specialist is responsible for planning, directing and coordinating the company's administration services including administration management, facilities and equipment management, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Responsible for administration services that are implemented in an efficient and effective way. Responsible for administration cost control and office facilities maintenance to ensure reasonable cost normal running of office facilities.
Examples of administrative services this role MAY be responsible for (but not limited to):
• Facilities/office management: lease management (initiating, renewals, payments), service calls, space management, and all building related issues (site improvements, repairs, painting, cleaning vendor management etc.). Manage kitchen inventory, food, drinks & supplies as required, catering. Purchasing of office equipment and supplies (printers/copiers, projectors) and renewal of contracts.
• IT site coordination: supports remote IT staff as required, laptop inventory ordering and management, purchasing of IT supplies, setup for new hires; payments of WIFI services
• Communications: Purchasing of landlines, conference room phones, cell phones, POC for contracts, payment of invoices
• Site Security Management: 24/7 on-call, fobs issuing and ordering, assigning and programming access codes, contract renewal, invoice processing
• Finance support: submitting invoices for payment (receiving line items, adjusting costs as applicable, forward invoices to AP); coordinates expense reports submissions to AP; asset tag management; TM1 budget management and submission for Admin/Building Services cost centers
• Logistics support: Freight, payment of bills, receiving, courier requests
• Human resources corporate support: new hire on-boarding presentation and orientation, purchase and setup phone and laptops as required, business cards, designation of office space, welcome lunch, etc.
• Event/meeting management: coordinate staff events; coordinates all necessary arrangements for customer visits. Coordinates and arranges meetings, reservations of facilities, hotel and/or tickets, stationery order, and office supplies.
• Health & safety management: Lead safety committee, maintain first aid station, assists with implementation of site safety processes (fire drills, salt/sand sidewalks, etc) as mandated by law, organize H&S training as required.
• Coach and guide the administration staff in daily operation.
• May assist with compiling information and data for reports on audits, budgets, plans etc.
• May perform other duties and responsibilities as assigned.

• Demonstrates judgment in selecting methods and techniques for obtaining solutions.
• Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
• Ability to define problems, collect data, establish facts, and draw valid conclusions.
• Ability to operate a personal computer including using a Windows based operating system and related software.
• Ability to write simple correspondence. Read and understand visual aid.
• Ability to apply common sense understanding to carry out simple one- or two-step instructions.
• Ability to deal with standardized situations with only occasional or no variables.
• Ability to read and comprehend simple instructions, short correspondence, and memos.
• Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
• Ability to compute rate, ratio, and percent and to draw and interpret graphs.
• Proficiency in use of personal computers, Microsoft Office products (Excel, Word and PowerPoint) and e-mail skills required.
