Job Description

Primary Function of Position:

The role of MAC Manager is to assist the Occupancy Planning & Workplace Services team with planning and implementation of relocations, logistics moves, furniture reconfigurations and IT systems in office, lab and clinical settings. This role will have input into developing, implementing, decommissioning, and maintaining effective processes for the Move Adds Changes program. You will engage with cross-disciplinary staff to conceive, design, and develop programs, policies, and processes that enhance the employee experience. You will be responsive, flexible, and able to succeed within an open, collaborative peer environment.

Roles & Responsibilities:

  • Receive and successfully schedule and execute the physical aspects of small to large-size move projects.
  • Responsible for customer satisfaction on each assigned move projects and planning.
  • Oversee MAC team including daily team meetings, assignment of daily work orders to MAC Coordinator and MAC Technician.
  • Manage work orders/requests received in CMMS.
  • Serve as client single-point-of-contact for day to day moves, adds, and changes. Receive all requests for user moves and oversees scheduling, execution, and vendor management.
  • Issue work orders for approved projects to third party movers, receive and verify invoices for payment.
  • Maintain and develop move documentation including user communication.
  • Maintains soft seating inventory - common shared furniture.
  • Assignment of workspaces to all new hires, contractors, temporary and interns.
  • Update space database for employee locations, space types and floor plans.
  • Issue POs to vendors and approve invoices.
  • Manage moves budget including forecasting.
  • Collaborate with Occupancy Planning team and Furniture Vendors to ensure all relocation and furniture guidelines are met.

Qualifications

Skills, Experience, Education, & Training:

  • Minimum Bachelor's Degree from an accredited institution or minimum 5 years of experience of move management experience at high level tech companies
  • Preferred knowledge of AutoCad
  • Knowledge of cubicle systems - configuration, programs
  • Excellent computer skills in: Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Smartsheets)
  • Ability to lift up to 30 pounds and occasionally lift 50 pounds
  • Worked with an Integrated FM environment
  • Have a working knowledge of H&S (NEBOSH/IOSH)
  • 'Patients first' mindset. Desire to provide excellent customer service.
  • Strong analytical skills.
  • Excellent business judgment and a practical, common-sense approach to getting things done
  • Work well under pressure and within time constraint in a fast-paced environment
  • Highly effective communication skills - writing and speaking skills through written proposals, meeting facilitation, oral presentations,
  • Effectively and professionally work with people of various disciplines and levels within a corporate environment
