Order Management Specialist

Location: San Jose, Costa Rica

English, Spanish, and French is required for this role

The Order Management Specialist is responsible for managing the administrative flow of sales orders from order intake to sales recognition. This role ensures that sales orders are processed efficiently, accurately, and in compliance with customer requirements and company policies. The specialist will act as a single point of contact for logistics and order fulfillment, resolving escalations and ensuring timely delivery of orders.

Responsibilities:

  • Create sales orders manually as well as monitor automated sales orders, supported by various channels (including return flow).
  • Focus on the flow that is not touchless and one-time-right (unhappy flow) to make sure these orders are fulfilled.
  • Solve root causes of non-touchless flow in a quick and efficient way by getting in touch with the right person.
  • Reporting on order receipts and order status.
  • Responsible for the administrative flow of all types of Sales orders from order intake to sales recognition.
  • Managing sales orders up to delivery to 3PL/forwarding.
  • Manage backorders with the Factory to ensure Customer Requirements are met.
  • Prepare, organize, and lead weekly order book review meeting between factory and market (group).
  • Act as single point of contact to the logistics organization for assigned scope for order fulfillment subjects. Capable of resolving escalations.
  • Ensure SAP transactions for order handling are timely executed and SAP order book data quality is well maintained and up-to-date.
  • Screening of complex orders (specials) regarding technical content and commercial correctness.
  • Managing specials, combined shipment, DEFOA cases.
  • Coordinate customer inquiries.
  • Responsible to release customer billing as requested by the market finance policy and create customer facing documents which meet local fiscal and legal requirements on time and first-time right.

Qualifications:

Basic
  • High School Diploma or GED equivalent
  • At least 2 years of experience in order management, customer service, or logistics.

Preferred:
  • Experience in handling sales orders and logistics coordination.
  • Knowledge of SAP transactions and order book management.
  • Familiarity with technical and commercial screening of complex orders.
  • Strong understanding of order processing and sales operations.
  • Proficiency in ERP/CRM systems and Microsoft Office Suite.
  • Excellent communication, problem-solving, and organizational skills.
