ABOUT THE ROLE

The Office Manager serves as the face and first impression of Howard Hughes for all internal and external clients. In this role, the office manager is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. The ideal candidate for this role maintains the utmost professionalism, superior customer service, is able to anticipate needs for all office events and is able to manage ad hoc projects as needed.

What You Will Do
  • Administrative & Office Operations Management
Oversee day-to-day administrative functions, including calendar and meeting coordination, travel arrangements, expense reporting, access badge management, and office/vendor operations. Maintain organized and efficient workspaces by managing kitchen, lobby, and breakroom cleanliness and supervising staff. Serve as the primary point of contact for visitors and incoming communications, ensuring a professional front office experience.
  • Executive & Team Support
Provide high-level administrative support involving confidential and complex tasks such as preparing formal correspondence, reports, and presentations. Coordinate logistics for meetings and events, manage conference room calendars, and partner with IT for AV needs. Collaborate with internal teams to create operational efficiencies and ensure smooth in-office experiences for executives and employees.
  • Finance, Facilities, & Vendor Coordination
Support financial tasks including invoice reconciliation, vendor management, and monthly billing processes. Maintain transaction records, assist with budgeting and spreadsheet reporting, and act as a liaison with property management for building needs and maintenance. Proactively identify opportunities for process improvements and assist other departments as needed.

Skills & Experience
  • High School Diploma/GED, associates or undergraduate degree preferred.
  • 3+ years administrative experience in a corporate environment.
  • Exceptional communication skills-both verbal and written.
  • Strong ability to multi-task and handle multiple projects.
  • Highly proficient in MS Office applications including Excel, PowerPoint, & Teams.
  • Familiarity with, and eagerness to explore and integrate, emerging technologies (e.g. AI and blockchain etc.) to drive innovation and continuous learning.
