About The Role

Responsibilities for this position include the ability to play an integral role in our organization to provide support directly for the Direction of Community Development and Planning, Land Development (MPC) and project managers. Our ideal candidate will be able to think and plan ahead, be a self-starter, work well across multiple functions & regions, manage time effectively, and most importantly be the welcoming face to all vendors and personnel.

What You Will Do
  • Responsible for assisting in the successful project management process:
    • Work closely with the project managers and legal team in the contract approval process using Contract Management Software. Upload, revision and tracking processes to achieve final form.
    • Process and file of certificate of insurance for contractors. Must also interface with corporate Risk Management to ensure contractor compliance with insurance requirements prior to contract execution.
    • Input and track utility agreements in Contract Management Software.
    • Input purchase orders, contracts, and invoices into the accounting software.
    • Assist in the finalization of E-recording process to include easements, memorandum of contracts and bonds. Track recordation of payment and performance bonds.
    • Assist in monthly and quarterly reports in various formats (Power Point and Excel) to include municipal utility district home inventory report, HHC Board Meeting (PBM) reports and project updates and exhibits for The Woodlands Township, Municipal Utility Districts, and others.
    • Manage land development project files, including current and historical contracts in SharePoint system. Coordinate project close-out documents such as record drawings or as-builts. Provide final documents, as necessary, to municipal utility districts as part of the bond process.
    • Assist with coordination and management of dry utilities design and contracting for residential sections. Acting as the liaison between project manager and utility companies and scheduling project meetings and site visit dates.
    • Oversee mailbox and address exhibits preparation and acting as a liaison with Montgomery County 911 and notification of other agencies of address map approvals and coordinating with the United States Postal Service for mail box approvals.
    • Manage contractor for mailbox installation in MPC subdivisions.
    • Coordinate inspections, prepare legal description and documentation for the land conveyance process.
    • Act as the point person for Icertis, SharePoint, Power Point, Adobe Acrobat Pro, and Photoshop.
    • Maintain file system for all residential communities (plat and construction drawings files) and contractors (contract agreements and correspondence files).
    • Responsible for scheduling of all contractor meetings for the Project Managers and other Land Development team members as directed.
    • Perform administrative roles as necessary for Land Development team.
  • Responsible for responding to contacts or correspondence from project managers to address questions regarding legal documents, contracts, and any other matters pertaining to the Land Development department.
  • Assist with project meetings and attend site meetings with Project Manager.

About You
  • Bachelor's degree.
  • Proficient in all Microsoft Office Applications (Word, Excel, Power Point, Outlook, One Note, etc.)
  • Knowledge of Salesforce, Adobe and JDE, Photoshop, SharePoint.
  • A motivated self-starter, process-oriented with high attention to detail
  • Strong interpersonal and communication skills (written and oral) with the ability to work effectively with a wide range of constituencies in a diverse community
  • Ability to work in fast-paced team environment and flexibility to accommodate demanding projects schedules
  • Possess excellent customer service skills and a "can do" attitude
  • Proactive, resourceful and professional at all times
