The Meeting & Events Coordinator is at the forefront of delivering a positive meeting and events experience as a cultural ambassador and service leader. In this role, you would be the customer service provider for meeting and events in our client's new Conference Center facilities. Daily duties would include tasks like: responding to internal client meeting requests, managing meeting scheduling calendar, moving, setting up and striking furniture, décor, removable walls, and event equipment, welcoming guests, providing wayfinding support for attendees, setting up and breaking down food and beverage stations, and disinfecting meeting rooms between use.

This role is at our client's new state of the art headquarters in Stamford, CT located adjacent to the Stamford Transportation Center.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Manages and oversees events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and partnering with vendors, and managing take-down.

Coordinates event logistics with clients, including responding to meeting inquiries, calendar management and room assignments, AV support, and catering support.

Works closely with AV/Meeting & Events technician team to ensure set up and needs have been met, provide basic AV troubleshooting. Intermediate knowledge of AV systems.

Assists with set up of food & beverages; clean up and removal of dishes.

Coordinated services for events such as transportation for guests, signage, displays, special needs requirements, and printing.

Works closely with Service Partners including: Facilities, AV, IT, Security, Property Management, and Food Service.

Collaborates with Concierge & Experience team to create and execute community events and programming.

Supports Meeting & Event Coordinator at other Stamford location as needed.

Performs other duties as assigned.

EDUCATION and EXPERIENCE

HS Diploma or GED required and a minimum of 1 - 2 years of related work experience.

Prior event coordination, customer service or other hospitality experience preferred.

COMMUNICATION SKILLS

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

Comfortable meeting and engaging with new people.

Warm and engaging demeanor. Ability to assess circumstances, empathize and offer help.

FINANCIAL KNOWLEDGE

Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

OTHER SKILLS and ABILITIES

Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Visio, SharePoint, OneNote, Outlook, etc. Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, financial management, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.. Ability to work in multiple software platforms and learn and retain technical software applications quickly.

Good organizational skills. Must work well under pressure with multiple deadlines, and demonstrate a proactive approach to routine and non-routine occurrences.

Ability to work flexible work schedules based on business need.

May need to be physically able to lift and move 30-40 boxes and operate a two-wheel dolly. Physical ability to assist with document services operations. Able to lift 50 lbs.

Strong problem-solving skills. Highly adaptable and flexible.

Ability to work independently with little supervision.
