Executive Assistant, Finance

Harlem Children's Zone (HCZ) - a world-renowned education and poverty-fighting organization based in New York - seeks an enthusiastic, dedicated, mission-aligned Executive Assistant to support the Chief Financial Officer.

The Executive Assistant will bring a passion for the mission of Harlem Children's Zone: break the cycle of intergenerational poverty with comprehensive, on-the-ground programming that builds up opportunities for children and families to thrive in school, work, and life.

Reporting to the Chief Financial Officer (CFO), the Executive Assistant manages the day-to-day operations of the CFO and works collaboratively with EAs across the C Suite. In this high-profile role, the successful candidate must be comfortable handling urgent requests directly from the Board, CEO, Executives, and senior leaders as necessary. This hybrid role requires candidates to work out of the NYC office three days a week.

Minimum Qualifications

  • 5+ years of experience as an EA to C-level executives and leadership team in a fast-paced environment required

Who you are

  • Bachelor's degree preferred
  • Strong Project Management skills and fluency in modern productivity software tools for communication and scheduling
  • Expert ability to handle and prioritize multiple tasks while maintaining attention to detail
  • Expert level proficiency in Microsoft Office and Project Management systems
  • Familiarity with databases and systems
  • High level of flexibility and agility to pivot as needed by organization and board members' needs
  • A high level of confidentiality and sound judgment are required

What you'll do

  • Build and maintain effective internal and external working relationships as an extension of the CFO.
  • Handles and provides advanced, diverse and highly confidential Executive support for the CFO
  • Liaise across levels and teams to establish CFO priority, tracking both internal to CFO portfolio departments (Finance, IT) and externally
  • Manage CFO calendars, optimize complex team calendars and establish standard processes for how teams leverage them
  • Organize standing meetings and agendas, ensuring the necessary technology, space and other needs are requested
  • Manage department short- and long-term projects and initiatives.
  • Oversee the accurate completion of timecard processing, ensuring compliance with company, federal, state and local requirements
  • Create meeting agendas and prepare presentation of materials for internal and external meetings as required
  • Maintain and order team supplies, maintain contact lists for diverse groups, and support the logistical onboarding of new team members
  • Oversee all forms of communication; email, text, phone messages and handle responses accordingly
  • Draft emails and other forms of communication on behalf of the CFO
  • Manage electronic and paper filing systems and maintain accurate records
  • Become familiar and remain knowledgeable about HCZ programs and operations
  • Perform other duties as assigned and/or needed

  • Monday- Friday
  • 9 AM- 5 PM
  • Hybrid Schedule (3/2 model)
