Harlem Children's Zone (HCZ) - a world-renowned education and poverty-fighting organization based in New York - seeks an enthusiastic, dedicated, and mission aligned Administrative Assistant with the Safety Department.

The Administrative Assistant will bring a passion for the mission of Harlem Children's Zone: break the cycle of intergenerational poverty with comprehensive, on-the-ground programming that builds up opportunities for children and families to thrive in school, work, and life.

Our HCZ Safety Team is committed to creating safe spaces for our scholars, families, community, and staff members to thrive. We are stationed at 15+ HCZ sites with a team of New York State licensed safety officers. We provide 24-hour support, 365 days a year, at our 3 Charter School/Community Center locations.

Reporting to the Safety Director, the Administrative Assistant is responsible for overseeing the administrative aspects of the Safety team. The ideal candidate must be comfortable working in a fast-paced environment and balance the ability to work independently with effective collaboration between the Safety team and the rest of the organization.

Minimum Qualifications

  • Bachelor's degree preferred

Who You Are

  • 3+ years of related professional experience
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook
  • Strong scheduling and calendar management skills
  • Proven success in administering multiple projects simultaneously and prioritizing workload
  • Excellent project and time management skills
  • Impeccable attention to details and deadlines
  • Excellent communication skills, including written and oral communication skills
  • Proven ability to work with a diverse staff
  • Resourcefulness, creativity, and strong problem-solving skills is a plus

What You'll Do

Administrative Duties:

  • Maintain employee information
    • File absence notes
    • Update the weekly vacancy report
    • Maintain current Security Guard 8-hour training certificates on a yearly basis
    • Maintain and update staff contact information, i.e., mobile phone numbers, site numbers etc.
    • Manage employee timekeeping via UltiPro.
  • Coordinate new hire onboarding process
    • Track hiring progress with candidates to ensure all documents are submitted on time.
  • Calendar Management:
    • Schedule interviews for department leadership
    • Manage the Director's calendar
    • Manage the Events calendar across the department
    • Establish and maintain internal HCZ departmental relationships
    • Act as Department HR liaison
    • Set up and coordinate meetings and conferences, both internal and external to HCZ
    • Responsible for updating department databases, including inventory, staffing and others as requested
  • Billing Entries & Orders
    • Communicate with vendors for billing inquiries
    • Submit Purchasing orders for supplies, uniforms, etc.
    • Responsible for processing and submitting Safety invoices from vendors, reimbursements, and other general expenses as directed in a timely manner

Special Projects:

  • Data entry for Certify Me building access system
  • Assist with training coordination, including obtaining materials for the team
  • Assist Safety Director with key and access code management
  • Assist Director to keep current call list for Johnson Control (Tyco) call list and Burglar alarm codes
  • Support with special project tasks as assigned special projects.
  • On call during working hours to dispatch for departments and direct Safety issues.
  • Manage the Fresh Works incidents and accidents system
  • Perform other duties as assigned

  • Monday to Friday
