Customer Service Representative (6-month Contract)

Position Summary:

To make a positive contribution, enabling Griffith Foods Canada to continue to grow and operate in an effective, efficient and profitable manner. Support and assist in growth sales of all products produced by Griffith Foods Canada.

Essential Duties & Responsibilities:

  • Reports directly to the Customer Service Manager of Griffith Foods Canada on an ongoing basis and communicates all relevant matters pertaining to Customer Services, including, and not limited to sales orders, production requests, customer complaints, inventory discrepancies.
  • Deals effectively and efficiently with all customers (internal and external) of Griffith Foods Canada in ensuring optimum service at all times.
  • Ensures all relevant information is received for purchase orders (i.e., leadtime, safety time, transit time, product codes) and that P.O.'s are entered into Dax and updated in EDI (if applicable).
  • Confirms purchase orders to customers, follows up on orders, processes order changes (i.e. ship date, quantity, ship method, etc.), informs/negotiates with internal departments, and confirms changes with customers.
  • Monitor daily reports regarding affected customer orders (i.e. Open Order Summary, Batches on Hold, CSR Final Report, etc.). Advises customers accordingly and works on solutions with customers and other departments.
  • Informs customers of backorders and negotiates with production and purchasing for better revised ship date and expediting of the required raw materials.
  • Processes customer sample requests.
  • Processes customer complaints.
  • Maintains daily backorders, Order Fill Control reports and investigates late and short orders.
  • Assists customers with Pricing discrepancies/inquiries and co-ordinates credit requests with credit department.
  • Co-ordinates Customer requests with corresponding departments: COA's, certificate of origin, specifications, nutritional, range formula, ingredient declaration, halal certificate, kosher certificate, pricing, certificate of manufacture, product inserts, FBM requests, RMA's, letter of guarantee and MSDS etc.
  • Creates and maintains e-mail order forms for customers.
  • Creates and maintains order processing pages to ensure all contact information and customer special requests are up to date.
  • Co-ordinates Export and overseas shipments where required.
  • Provides Proforma invoices, and weekly inventory reports to customers where required.
  • Updates Account Directors with foreseeable issues or concerns regarding customers.
  • Attend weekly customer service meetings and attend customer meetings with sales representatives where applicable.
  • Provides coverage for other Customer Service Representatives within a team environment, as needed.
  • Take on new challenges where required and adapt accordingly.
  • Participates in special projects, other duties or tasks that may be assigned as required.
  • Ensures the health, safety, cleanliness, and security of the work environment.
  • Ensures compliance with all product safety, legality, and quality requirements.
  • Understands and complies with all company policies and procedures.

Qualifications:

  • Specialized training in a recognized Community College program, is highly preferred.
  • 1 - 3 years of applicable experience.
  • Must be proficient in MS Office programs such as Word, Excel, PowerPoint and Outlook.
  • Excellent communication and interpersonal skills. Knowledge and fluency in French is considered an asset.
  • Ability to work in a fast-paced environment.
  • Ability to work independently and within a team environment.
