At GridBeats we are seeking a highly motivated, organized, and detail-oriented Executive Assistant to provide comprehensive support to the Executive Product Leader of GridBeats.

As an Executive Assistant you will play a critical role in optimizing leadership effectiveness by managing complex schedules, coordinating internal and external communications, assisting with project initiatives, and ensuring the smooth operation of daily activities.

This is a dynamic position requiring strong decision-making skills, outstanding professionalism, and the ability to operate effectively in a fast-paced, innovative environment.

Job Description

Key Responsibilities:

  • Executive Support: Manage complex calendars, schedule and prioritize meetings across global time zones, handle travel arrangements, and maintain a forward-looking view of upcoming priorities and commitments.
  • Communication Management: Serve as a key liaison between the Executive Product Leader and internal teams, external partners, and customers. Draft, proofread, and edit communications, reports, and presentations ensuring accuracy, tone, and professionalism.
  • Project & Initiative Support: Assist in tracking key initiatives and strategic projects. Coordinate follow-ups, prepare briefing documents, monitor KPIs, and ensure alignment with GridBeats' strategic objectives.
  • Event & Meeting Coordination: Plan and organize internal meetings, executive offsites, customer visits, team events, and large group sessions. Prepare meeting agendas, minutes, and follow-up action plans.
  • Office & Operational Efficiency: Support daily office operations including supply management, vendor coordination, expense reporting, and other administrative needs to maintain an organized and efficient working environment.
  • Social Media & Communication Support: Collaborate with the GridBeats Commercial/Marketing team to support communication initiatives, including internal news, social media posts, and brand visibility efforts.
  • Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and professionalism, exercising sound judgment at all times.

Qualifications:

  • Bachelor's Degree preferred (Business Administration, Communications, or related field) or equivalent work experience.
  • Minimum of 5 years of experience supporting senior-level executives, preferably in a technology, innovation, or industrial sector.
  • Experience working with matrixed organizations and global teams is highly desirable.

Skills and Attributes:

  • Exceptional organizational, time management, and prioritization skills.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with Teams, SharePoint, and project management tools is a plus.
  • Strong written and verbal communication skills, with the ability to create executive-quality documents and presentations.
  • Ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism.
  • Comfortable working independently with minimal supervision while thriving in a fast-paced, high-performance environment.
  • Discreet, trustworthy, and able to maintain confidentiality and professionalism at all times.
  • Familiarity with social media platforms (LinkedIn, X/Twitter) and basic content planning is a plus.
