The Registration & Participant Programs Coordinator helps drive forward VE's mission to produce world class events that inspire, empower, and celebrate every participant. VE produces world class events with a hometown feel and this role ensures that each event provides an unparalleled participant and volunteer experience.

The Registration & Participant Programs Coordinator will be responsible for setting up, managing, maintaining registration platform and maintaining and executing our participant programs for the Ventures Endurance portfolio, which includes 38+ events comprised of marathons, obstacle course races, themed runs and more. This will involve working closely with all key departments within the organization, including event operations and marketing. Competitive applicants will have extensive experience working live athletic events and coordinating with large groups of personnel.

This role reports directly to the Manager, Marketing and works closely with our Marketing Project Manager. Travel will be required, upwards of 10 weekends (events) and preference is given to those who can adapt and work well with others in a fast-paced environment.

Responsibilities:

  • Own and manage registration and event CMS for all Ventures Endurance events, from the time the event is established through event close out including setup, maintenance and optimization of registration platforms and transactional communications
  • Act as liaison between departments to identify registration and reporting needs for events, including expos, marketing, packet pick-ups, race day activities and event programs. Collaborate with the operations and marketing team to ensure the efficient use of data for events
  • Manage participant database including data updates, reporting, program assignments an designations
  • Lead and management of event loyalty programs that support revenue including legacy, teams and groups, and the communication and processing of those
  • Work with Account management and marketing teams to ensure assets of sold accounts and vendors are properly displayed on registration pages and transactional communications
  • Work with timing and on-site pickup teams to ensure accurate data integration and participant tracking
  • Provide operations and marketing teams with regular updates on registration progress and proactively solve any challenges.
  • Assist with copy updates and accuracy of data on websites and webpages
  • Assist and provide guidance with setup, maintenance and troubleshooting of other Gannett owned events
  • Ensure documentation and FAQ's are aligned and up to date with current processes of event registration and managing registration for participants.
  • Effectively communicate any needs, troubleshooting and bugs to Engineering team for resolution
  • Work closely with event and organization leaders to execute world-class events from beginning to end of participant experience.
  • Lift up to 35 lbs. while onsite at events
  • Travel obligations ~15% throughout the year

The annualized base salary for this role will range between $45,000and $60,000. Variable compensation is not reflected in these figures and based on the role, may be applicable. Exact compensation may vary based on skills, experience, location, and union representation, if applicable.
