Position Title: Events & Administrative Assistant

Position Overview:
The Events & Administrative Assistant is responsible for coordinating the daily activities of the Jay Blaushild Training & Education Center (J-TEC) in Maple Heights, OH. This role involves maintaining a master calendar for training sessions, workshops, and corporate events, ensuring smooth execution and a high-quality experience for participants and facilitators.

- Administrative Assistance:
- Maintain training and event calendars, schedules, and documentation to ensure the facility’s calendar is full without overbooking events and trainings.
- Perform administrative tasks, including making reminder and invitation phone calls, handling incoming phone calls, and responding to emails in a timely manner.
- Prepare event reports and provide recommendations for improvements.
- Facility & Resource Support:
- Monitor inventory of training materials, equipment, and event supplies.
- Ensure training rooms and event spaces are properly set up and maintained.
- Coordinate IT and audiovisual needs for training sessions and events.
- Ensure compliance with health, safety, and accessibility requirements for all events.
- Oversee the post-event breakdown and prepare the space for the next event(s).
- Event Coordination & Execution:
- On-site support during all events.
- Coordinate all aspects of event logistics, including maintaining the venue booking calendar, arranging audiovisual support in collaboration with the IT team, and organizing transportation as needed.
- Work cross-departmentally with trainers, facilitators, marketing, and external vendors to ensure all event needs are met.
- Troubleshoot any issues related to facilities, AV equipment, and/or catering.
- Communication & Engagement:
- Act as a liaison between trainers, event speakers, vendors, and internal teams.
- Respond to inquiries and provide support to participants before, during, and after events.
- Communicate event details, agenda, and logistics to attendees and stakeholders.
- Minimum of one year of office administration experience.
- Hands-on experience in event planning is preferred.
- Associates degree in related field is a plus
- Proficiency in Microsoft Office, Event Management Software, and project management systems
- Excellent verbal and written communication skills.
- Willingness to work evenings or weekends for events as needed.
