Position Overview

The Warehouse and Distribution Operations Specialist will oversee the day-to-day oversight of warehousing and distribution activities including receiving, storage, shipping, material movements, Kanban development and replenishment, and will facilitate other internal inventory requests for goods and supplies through intra-company deliveries, and external logistics partnerships. This role will partner and engage with key internal stakeholder groups, such as Supply Chain, Logistics, R&D, Lab, SAP, Facilities, IT, and others to execute on company's business objectives. The role will require close collaboration with the laboratory teams in Germany and US, US based supply chain and procurement organizations, as well as international finance and legal departments to meet the business needs of the site.

This role is based in our Trier, Germany location.

Essential Duties

Include, but are not limited to, the following:

  • Oversees policies and processes of receiving, storage, and shipping.
  • Conducts receiving and inventory activities within the warehouses to ensure accuracy, completeness, and condition of goods.
  • Determines and continuously monitors space requirements for storage of goods for both ambient and cold storage.
  • Receive, verify, and inspect inventory, as needed.
  • Supports development of safety and security policies and procedures for warehouse and distribution operations.
  • Support the lab staff as the point person working closely with the enabling functions based in the US to meet the needs of the site (Supply Chain, Procurement, Facilities, Legal, SAP, IT etc.).
  • Coordinate and liaise with EU indirect suppliers and vendors.
  • Create Purchase Requisitions within SAP for indirect materials working directly with the Procurement team.
  • Support invoice review for Supply Chain and Logistics functional spend
  • Support CapEX request forms for purchase requisitions, working across departments.
  • Identifies and implements appropriate equipment and systems to support efficient warehouse operations. Including but not limited to racking, material handling equipment, labeling, warehouse management system (WMS).
  • Maintain relationships, and benchmark with sister sites to continually look for process improvement opportunities.
  • Establish and maintain quality records, according to standard operating procedures (SOPs) or study protocols, as directed.
  • Package or re-configure materials for staging, use in testing laboratories, or production areas, following approved procedures.
  • Perform inventory control of non-conforming materials.
  • Maintain inventory and associated records for raw materials, intermediates, disposables, consumables, reagents, and spare parts.
  • Ensure requisition materials maintain designated inventory levels.
  • Conduct inventory cycle counts aligned with finance and rest of the organization.
  • Coordinates with Logistics for carrier scheduling.
  • Ensures compliance according to IATA and DOT regulations.
  • Handle products using material handling equipment as necessary.
  • Establishes and monitors KPIs and takes necessary actions when targets are not met.
  • Strong documentation skills and attention-to-detail necessary in a GMP environment.

  • Ability to work in a warehouse for extended periods of time.
  • Ability to comply with any applicable personal protective equipment requirements.
  • Ability to travel 10% of working time away from work location, may include overnight/weekend travel.

Minimum Qualifications

  • Bachelor's degree in Logistics, Supply Chain, or a field as outlined in the essential duties; or high school degree/general education diploma and 4 years of experience in a field as outlined in the essential duties.
  • 5+ years of experience in an operations role in a field as outlined in the essential duties.
  • 3+ years of experience with Warehouse Management/ERP systems.
  • Fluent in English and German.
  • Strong knowledge of DOT and IATA regulations.
  • Strong knowledge of UPS, FedEx, and DHL systems for domestic and international shipments.
  • Possession or ability to obtain a forklift certification within 12 months of employment.
  • Possession of a valid driver's license; no suspended, revoked, surrendered, invalid, etc. allowed.
  • No more than two moving violations, events, or accidents within the last 36 months.
  • No alcohol or drug event in which a vehicle was driven by the candidate or employee, including but not limited to Blood Alcohol Content (BAC) failure, refusal to submit to alcohol or drug test, alcohol related suspension, etc. in the last 36 months.
  • No other results from the Motor Vehicle Report (MVR) check that exposes Exact Sciences to what Exact Sciences deems to be an unacceptable level of liability.
  • Proficient in Microsoft Office programs including Word, Excel, and Outlook.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.

Preferred Qualifications

  • 1+ years of SAP experience.
  • Experience with cold chain shipping.
  • Demonstrated understanding of less than load (LTL) and full truckload (FTL) carriers.
  • Experience in a biotech manufacturing environment, preferably in a GMP and/or ISO 13485 environment.
