Role Summary:

The Patient Financial Advocate (PFA) plays a crucial role in creating a positive patient experience by assisting individuals with the financial aspects of their care. With compassion and clarity, the PFA educates patients about their financial responsibilities, explores available options, and ensures they feel informed and supported throughout the process. By accurately and empathetically explaining financial obligations before services are provided, the PFA enables patients to focus on what matters most: their health, while fostering trust and peace of mind.

Key Responsibilities:

The following are the primary duties and responsibilities of this role. Other related duties may be assigned to meet the business need.

  • Explains financial responsibilities for services, payment options, and collection procedures to patients or parties responsible for payment.
  • Counsels patients regarding insurance benefits and recommends alternative sources of payment and financial assistance when appropriate.
  • Discusses financial hardship assistance programs with patients unable to meet their financial obligations.
  • Responds to inquiries regarding financial hardship assistance programs from patients, authorized representatives, healthcare providers, and caregivers.
  • Contacts insurance carriers or other sources and acts as an advocate for the patient.
  • Initiates the process for collecting pre-payments due and performs follow-up activities to ensure maximum collection is achieved.
  • Processes credit card, FSA, and HSA payments.
  • Arrange payment plans with patients.
  • Notifies Management, Sales Representatives, and Regional Account Managers (RAMs) of potential delays to service due to financial arrangements.
  • Assists with payor audit requests, including but not limited to: gathering documentation, creating Billing Required Documents (BRDs), and documenting audit details.
  • Presents unresolved patient concerns to Management for escalation and resolution.

Minimum Basic Qualifications:

  • Minimum of 3 years of experience in medical billing, credit and/or collections, and/or financial counseling required.
  • Proficiency in Microsoft Office applications required.
  • Strong attention to detail and passion for patient care.
  • Demonstrated empathy and compassion are required.
  • Strong customer service skills with the ability to communicate effectively with patients and outside agencies.
  • Strong solution-oriented problem-solving skills.
  • Experience using DataWorks or similar case management software is strongly preferred.
  • Experience in a healthcare environment is strongly preferred.
  • Knowledge of ICD-10 coding, medical terminology, third party billing and collections, and managed care requirements preferred.

Education:

  • High School Diploma or GED required.

Travel

  • This position does not require travel.

Work Environment and Physical Demands

  • Typical office environment.
  • Physical Demands: May occasionally lift up to 10 pounds. Routinely uses standard office equipment such as computers, keyboard, phone, print. Required to talk and hear. Must be able to sit and stand for extended periods of time and use hands and fingers to handle or feel, and to manipulate keys on a keyboard and operate portable input devices (e.g., smart phone, mouse). May occasionally reach with hands and arms. Must have the ability to look at a computer screen for extended periods of time.
