Job Description

The Programs Manager is an integral part of the Operations of Hult Ashridge Apprenticeships, expert at managing the day to day organization and delivery of the complex and high value apprenticeship programs to ensure they are delivered to a very high standard and maintain high apprentice achievement and satisfaction.

Responsibilities

  1. Proactive management of their Apprenticeship programs to ensure programs run smoothly
  2. To be the main point of contact for assigned faculty to ensure their courses are prepared in time to the standard required, supporting them in their teaching and being responsible for the success of the course
  3. Lead the Program Team (coordinators/managers) to ensure excellent administration of financial data, enrollment, assessment, marking & results dissemination, attendance, and course delivery
  4. Manage the Program Team and share responsibilities in management of systems including Salesforce (Student Records, Finance, logistics/resources), Canvas (online learning management system), Basware (Adjunct/Supplier Payment) and Zoom/Teams (Live Sessions & webinars) to ensure successful delivery of programs
  5. Use of Salesforce to monitor and report revenue, costs and remaining budget as required, suggest and implement ways to save costs and increase margin
  6. Create, follow and maintain clear program plans against which progress, risks and issues can be identified and reported
  7. Manage academic communications for programs online, onsite and by email & other media.
  8. Be an expert in programs regulations, so can advise and respond to queries and train others as needed e.g. for new staff
  9. Develop and maintain program handbooks for annual publication
  10. Work with the Programs Director and other Managers to support apprentices with going on/returning from leave of absence, progression management, academic probation, handling academic disciplinary issues and any requests with transition to or from the programs.
  11. Assist Apprenticeships Senior Leadership and Apprentice Support Team with orientation, graduation, recruitment events, and arrangements for any other events as appropriate
  12. Actively promote best practice amongst colleagues, creating noticeable improvements
  13. Build excellent relationships with internal teams: faculty, finance, house, sales to share knowledge and mutual needs, be a trusted go to person for Apprenticeships
  14. Proactively identify resource needs, solving independently or working with others to do so, delegating work effectively to these
  15. Manage other ad-hoc internal projects as required from time to time by Line Manager providing support to immediate and wider Ashridge

Person Description

  • Educated to degree level or relevant business qualification
  • Experience of Apprenticeships preferred.
  • Experience of further or higher education sector and academic administration preferred.
  • Experience with CRM and Learning Management Systems such as Salesforce and Canvas is desirable but not essential and full training will be given
  • A confident user of Microsoft Office software, in particular Excel and PowerPoint
  • Highly analytical with excellent problem solving and project management capabilities.
  • Exceptionally well organized, able to plan ahead and balance long-term planning with short term targets
  • Excellent attention to detail, gets things right and knows when to stop checking and move to action for optimum quality/speed balance
  • A high energy and enthusiastic individual who thrives under pressure, is able to use their own initiative working with minimum supervision, prioritize tasks and operate to tight deadlines.
  • Excellent relational and interpersonal skills with an ability to communicate clearly and professionally with faculty, staff and apprentices; able to influence and negotiate with senior colleagues
  • Team Player with an ability to support others knowing when and how to delegate
  • Collegial attitude and able to work collaboratively across teams.
  • Commercially aware; understands contracts, budgets and identifies savings
  • Creative and innovative personality, ability to conceptualize and implement efficient solutions and processes to enhance and improve program experiences.
  • Tech savvy, flexible, confident person who can embrace change, try new things and exploit technology
