What you'll do:

This Executive Assistant to the Country Manager ensures effective and efficient functioning of the Country manager's office, full confidentiality in all aspects of assignment, maintenance of protocol procedures, management of information flow and follow-up on deadlines and commitments made.

The Executive Assistant works in close collaboration with Front Office, Programme, Sales team and Operations teams, and APAC to ensure efficient flow of information, actions on instructions, agendas.

Administrative Support
1. Managing emails, phone calls, and correspondence
2. Scheduling meetings, appointments, and travel arrangements
3. Preparing reports, presentations, and documents
4. Organizing and maintaining files, records, and databases
5. Administer visa, flight and hotel reservation and other travel arrangement for CM and the management team.

Operational Support
1. Assisting with project management and follow-ups
2. Coordinating between departments and external stakeholders
3. Ensuring office supplies and resources are available
4. Support minor HR and Marcom tasks and activities.

Communication & Coordination
1. Acting as a point of contact between the manager and employees/clients
2. Taking meeting minutes and summarizing key points
3. Relaying instructions and ensuring tasks are completed"

Qualifications:

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • At least 6 years experiences in providing secretarial/personal assistance to senior management in multi-national companies.
  • Proficient in Microsoft Office (especially Microsoft Word, Teams or similar software)
  • Strong written and verbal communication skills ( English and Mandarin Chinese ).
  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
  • Problem-Solving & Efficiency.
    -- Identifying and resolving administrative issues
    -- Prioritizing tasks and helping the manager stay organized
    -- Streamlining workflows and improving office efficiency
