About the Role & Team:

The Sports Event Coordinator will assist the runDisney Expo and Special Events team in planning and execution of the runDisney Health & Fitness Expos and various runDisney Special Events. The role will work with a wide range of partners across Walt Disney Parks & Resorts as well as multiple 3rd party vendors.

The Sports Event Coordinator will report to the Sports Event Manager.

This is an hourly Full-Time role that supports the runDisney Event Management Team.

What You Will Do:

  • Liaison between internal and external partners including runDisney event operations, ESPN Wide World of Sports, IT and various 3rd party vendors

Assist with the preparation, organization, and distribution of amenities for each race weekend, ensuring all materials are ready and to presentation standards

  • Ensure exhibitor arrival experience is setup and ready, while also looking for new ways to enhance their experience. 

  • Facilitate with the signage and procurement process for both the runDisney Health and Fitness Expo and Special Events. 

  • Effectively communicate event needs through detailed communication

  • Handle event planning documents and timelines for all runDisney races

  • Support with building and design Expo maps for each event weekend using Adobe Illustrator

  • Assist in making daily operational decisions to the benefit of Guests, Cast Members, and the demands of the business: You will respond, assess, investigate, and assist in resolving different emergencies with Guests and Cast

  • Required Qualifications & Skills:

    • Self-motived individual skilled in independently executing complex tasks, prioritizing workload efficiently and maintaining productivity with limited oversight

    • Consistently balance responsibilities between the administrative and operational aspects of the role

    • Shown ability to collaborate with key partners to problem-solve event needs

    • Proficiency using a computer and computer programs like Microsoft Suites (Office – Word, Excel, PowerPoint, OneNote, etc.), and learn new software applications

    • Excellent communication and comprehension skills, both verbal and written 

    • Knowledge of Adobe Creative Cloud and Smartsheet

    • Able to work in an outdoor operation in all types of weather

    • Valid current U.S. driver's license

    • Ability to lift, push, pull, bend, twist, and kneel (Up to 50 pounds)

    • Flexibility with scheduling that is based on operational needs during peak times, including overtime, weekends, holidays, and 3rd shift

    Preferred Qualifications:

    • Experience in event planning or event coordination in a corporate environment

    Required Education:

    • High School Diploma or equivalent experience

    Preferred Education:

    • Bachelor’s Degree in Sports Management, Communications, or Event Management or equivalent experience.
