We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support across multiple functions. This role requires exceptional multitasking abilities, attention to detail, and a high level of discretion. The ideal candidate will be responsible for managing complex calendars, coordinating travel and expenses, handling petty cash, supporting meetings and events, and executing various ad hoc tasks.

About this role

You will be responsible for:

1. Calendar Management

  • Coordinate and manage complex calendars across multiple departments or executives.
  • Schedule internal and external meetings, ensuring optimal time management and minimal conflicts.
  • Proactively anticipate scheduling needs and adjust appointments as priorities shift.

2. Travel & Expense (T&E) Management
  • Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Prepare and process expense reports in a timely and accurate manner.
  • Ensure compliance with company travel and expense policies.


3. Petty Cash Control
  • Maintain and reconcile petty cash funds.
  • Track expenditures and ensure proper documentation and approvals.
  • Prepare regular petty cash reports for finance or audit purposes.


4. Meeting & Event Support
  • Organize logistics for meetings, including venue booking, catering, materials preparation, and technical setup.
  • Take meeting minutes and follow up on action items as needed.
  • Assist in planning and executing internal events, team offsites, and corporate functions.


5. Ad Hoc Administrative Tasks
  • Provide general administrative support such as document preparation, filing, and correspondence.
  • Assist with special projects and cross-functional initiatives.
  • Serve as a liaison between departments and external stakeholders.


To be successful in this role, you will need:
  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and calendar management tools.
  • Ability to handle confidential information with discretion.
  • Flexible, resourceful, and able to work independently or as part of a team.
  • Experience supporting multiple executives or departments.
  • Familiarity with expense management systems (e.g., Concur, SAP).
  • Event planning experience is a plus.
