We are looking for a dedicated HR Records Coordinator to join our Human Resources Shared Services department. This role will utilize Human Resource Information Systems (HRIS) to manage employee data and other HR-related functions. In this position you will also be responsible for handling colleague personnel file requests, adhering to established records requests procedures, and supporting various daily tasks and special projects. You will also work closely with our third-party vendors to maintain and manage colleagues' personnel files as well as support employment and wage verification requests. The ideal candidate should have excellent attention to detail, strong analytical skills, and a commitment to delivering high-quality service.

Key Responsibilities:
  • Maintaining Employee Records:
This includes physical and digital files, ensuring accuracy, organization, and confidentiality. Often acts as a liaison between colleagues and vendors to address questions and concerns related to employment verification and wage requests.
  • Providing Employment and Wage Verification Support:
This involves responding to employee inquiries ensuring that employment and wage verifications are accurate and provided in a timely manner. Collaborates with vendors to assist in wage verification inquiries, including salary history and earnings confirmation.
  • Fulfill Personnel File Requests:
This involves processing personnel file requests in a timely and accurate manner while ensuring compliance with established records request protocols and confidentiality standards.
  • Ensuring Compliance:
This includes staying up to date on relevant employment laws and regulations and ensuring that company practices are compliant.
  • Using HRIS Systems:
Many HR records coordinators utilize Human Resource Information Systems (HRIS) to manage employee data and other HR-related functions.
  • Maintaining Data Integrity:
Ensuring that employee data in the HRIS is accurate and up to date. Maintains accurate and up-to-date personnel records, ensuring data integrity and compliance with legal and organizational requirements.
  • Working with other HR professionals:
Collaborating with HR managers and other HR team members to complete routine tasks related to records management an on various projects and initiatives.
  • Other duties as assigned:
May include a variety of administrative tasks as needed by the HR department. Assisting with special projects related to records management, process improvements and system enhancements.

Required Qualifications
  • Strong organizational skills: Essential for time management, managing and maintaining records, and prioritizing tasks effectively.
  • Excellent communication skills: Both written and verbal, for interacting with employees and other HR professionals.
  • Proficiency in HRIS systems: Familiarity with various HR software such as Workday and Cognos is a plus.
  • Confidentiality and discretion: Must be able to handle sensitive and confidential information with professionalism and discretion.
  • Problem-solving skills: Strong analytical and problem-solving skills with the ability to identify and resolve issues related to HR records, procedures, and complex inquiries.
  • Attention to detail: Exceptional attention to detail and a commitment to data accuracy and confidentiality.
  • Ability to work independently: Must be able to work with minimal supervision while thriving in a team-oriented environment to achieve department goals.
Education and Experience
  • High School diploma required.
  • 2+ years of professional experience.
  • 2+ years of Microsoft Office experience, particularly Excel and Word.
Pay Range

The typical pay range for this role is:

$17.00 - $31.30 per hourThis pay range represents the base hourly rate or base annual full-time salary for all positions in the job grade within which this position falls.
