Our client service group is responsible for managing and building our Issuer Service client relationships through the provision of innovative products and services.
The Financial Proxy Administrator reports to the Team Leader, NA Proxy Tabulation. This role will work collaboratively with the Issuer Services Registry/Front Office teams and other business units in order to meet the client's Meeting and/or Mailing requirements. They will assume responsibility for assigned files and handle their execution in accordance with processes, time frames, regulatory requirement and guidelines.

As the Financial Proxy Administrator, you will bring your passion for client service, product innovation, product growth and program execution to this critical role. Your experience and drive will play a major role in the ongoing development of this market and Computershare's solution delivery.
This role is responsible for the tabulation process which encompasses the processing and tracking of an issuer's Annual Meeting or Special Meeting omnibus, ensuring the meeting is in balance, processing the street vote, ensuring all registered proxy cards are properly voted electronically, via scanning or manually and interfacing with Registry/Front office team / Solicitors to resolve issues.
Other key duties and responsibilities are as follows:
- Tabulates incoming proxy vote including the registered vote (by mail, phone and internet), the street vote, and the plan vote (if applicable). Responsible for the more complex issues.
- Tracks timely receipt of Broadridge, CDS and DTC files.
- Timely processing of incoming Street votes (Broadridge, Mediant, etc).
- Reports vote counts to internal administrators/Relationship Management Teams and external plan trustees.
- Enters system parameters to create various proxy related reports.
- Ensures all registered proxy cards are properly voted.
- Ensuring the meeting is in balance.
- Other duties or tasks as assigned by management.
What will you bring to the role?
High school diploma or general education degree (GED); or two-three years related experience and/or training; or equivalent combination of education and experience.
Strong communication skills.
Experienced in dealing with conflicting priorities and managing expectations.
Experienced in adapting style to influence a range of stakeholders.
Excellent accuracy and attention to detail.
PC skills - proficient in all aspects of MS Office.
Strong numeracy skills.
Strong team player.
Knowledge of Proxy voting.
Ability to contribute to a dynamic team based environment.
Ability to work autonomously, navigating through complexity and ambiguity.
Ability to interpret internal and external business challenges and recommend best practices.
Detailed understanding of Client Annual and Special meeting tabulation requirements.
Understanding of online event hosting solutions would be an advantage.
Ability to identify and quantify risks, controls, value add and other key process components.
